Summary

We are seeking a highly organized and adaptable Temporary Operations Assistant to support daily administrative and operational functions. This position plays a critical role in ensuring smooth business operations and offers the opportunity to transition into a full-time role based on performance and business needs.

Responsibilities
  • Manage incoming and outgoing phone calls and email communications
  • Maintain and update departmental databases, tracking systems, and operational lists
  • Create, update, and analyze data in spreadsheets and reports
  • Handle administrative tasks including filing, faxing, mail distribution, and supply ordering
  • Prepare presentations, complex reports, and handle confidential correspondence and documents
  • Support internal operations while interfacing with customers and maintaining strong internal/external relationships
  • Coordinate meetings, travel arrangements, and manage department calendars
  • Process purchase cards, expense reports, invoices, and settlement forms
  • Submit deal sheets in internal systems/portals
  • Assist in administering operational programs, projects, and processes
  • Document meeting minutes, track action items, and follow up as needed
  • Identify opportunities to improve processes and support operational efficiency
  • Manage multiple priorities in a fast-paced environment with minimal supervision
Qualifications
  • High school diploma or GED required; some college preferred
  • 2–5 years of experience in an administrative or operations support role
  • Strong organizational, multitasking, and time management skills
  • Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience creating reports, presentations, and spreadsheets
  • Strong written and verbal communication skills
  • Excellent phone etiquette and experience with multi-line phone systems
  • Ability to handle sensitive and confidential information with professionalism
  • Experience coordinating projects and supporting cross-functional teams
  • Familiarity with ERP systems such as AS400 or SAP preferred
  • Experience supporting operations, sales, marketing, or professional services environments a plus
  • Bilingual skills are a plus
