Job description

Job Title: Housing Program Coordinator/ Data Associate
Job Description
The Housing Program Coordinator/Data Associate supports the daily operations of an assigned property and provides portfolio-wide assistance as needed. This role helps manage leasing activities, tenant records, and rent collections, while also stepping in for Property Managers and supervisors during absences. The Data Associate contributes to special projects across the portfolio, including recertification catch-up, lease-ups, and data corrections, and plays a key role in maintaining accurate data and delivering responsive customer service to residents and staff.
Responsibilities
  • Assist with leasing apartments, including processing applications, coordinating move-ins, and managing move-outs.
  • Maintain the waiting list database, filing systems, and leasing and occupancy reports to ensure accurate and up-to-date records.
  • Maintain tenant files and support tenants with questions, concerns, and service requests, including entering and tracking work orders for completion by maintenance staff.
  • Conduct recertifications for the primary property and implement corrections as needed to maintain compliance and accuracy.
  • Assist the Property Manager with collection of monthly rent, processing deposits, and maintaining accurate ledgers.
  • Fill in for the direct supervisor or Senior Property Manager as assigned, including providing interim supervision of site staff.
  • Fill in for Property Managers across the portfolio as needed, taking responsibility for supervising site staff, leasing vacant units, preparing documentation for evictions, and conducting town halls.
  • Assist with or lead portfolio-wide projects such as past-due recertification catch-up, new lease-ups, ledger corrections, and other data-related initiatives.
  • Support the Senior Property Manager in training new staff and provide ongoing training assistance to team members.
  • Perform additional duties as assigned by management to support property operations and portfolio initiatives.

Essential Skills
  • Demonstrated customer service skills with the ability to respond professionally to tenant inquiries and concerns.
  • Proficiency in data entry and data management, including handling large data sets accurately and efficiently.
  • Experience with leasing activities, including leases, lease-ups, and lease documentation. (preferred)
  • Strong computer skills in Microsoft Office, including Excel, Word, Outlook, and working with spreadsheets. (Must Have)
  • Ability to manage and organize tenant files, waiting lists, and leasing and occupancy reports.
  • Administrative support experience in a real estate or property management environment. (preferred)
  • Ability to supervise, motivate, and support others, with prior supervisory experience or transferrable leadership experience. (preferred)
  • High school diploma or equivalent.

Additional Skills & Qualifications
  • Associate's degree is a plus.
  • Prior experience and understanding of HUD, LIHTC, FHA, and the affordable housing industry is preferred but not required.
  • Knowledge of Yardi property management software is desired but not required.
  • Experience in residential or commercial real estate, including leasing and lease analysis. (highly preferred)
  • Customer service-oriented mindset with strong communication and interpersonal skills.
  • General computer proficiency and comfort working with various software tools and databases.
  • Familiarity with affordable housing programs and low-income housing operations is beneficial.

Work Environment
This role is fully on-site, with a standard schedule of five days per week at assigned properties. The position involves regular interaction with residents, site staff, and management, as well as frequent use of computers, property management systems, and office productivity tools such as Microsoft Office and spreadsheets. The work environment is fast-paced and detail-oriented, requiring careful handling of tenant files, data, and documentation, along with occasional travel within the portfolio to provide coverage or support special projects.

Pay and Benefits
The pay range for this position is $28.00 - $32.00/hr.
