Project Coordinator
BAAC Construction Inc. — Calgary, AB (Head Office, with occasional field site visits)

About the Role
BAAC Construction Inc. is seeking a detail-oriented Project Coordinator to support our telecommunications infrastructure and civil construction project teams. This role is the connective tissue between office, field, and client — keeping projects tracked, documented, and communicated clearly across all parties. You'll work closely with Project Managers, estimators, and field crews to keep projects moving on schedule and on budget.
Key Responsibilities
Client & Stakeholder Communication
  • Serve as a primary point of contact for client updates, status reports, and day-to-day correspondence
  • Draft and distribute progress reports, RFIs, and change order documentation
  • Escalate client concerns to the PM promptly and professionally
Project Tracking & Documentation
  • Maintain project tracking logs (schedules, budgets, deliverables, permits, locates, RoW status)
  • Own document control — filing, version control, and ensuring the right people have the right documents at the right time
  • Track outstanding action items to closure
Meeting Coordination
  • Schedule and coordinate project meetings (internal, client, subtrade)
  • Take and distribute meeting minutes; track follow-up items and deadlines
  • Prepare agendas and pre-read materials
Field Interface
  • Act as liaison between office and field crews — relaying schedule changes, material needs, and site updates
  • Coordinate field force scheduling, equipment/material logistics, and permit/locate timing with crews
  • Flag field-reported issues (delays, site conditions, safety concerns) to the PM team
Systems & General Support
  • Work fluently across project management, scheduling, and document systems (training provided on BAAC-specific tools)
  • Support estimating and PM teams with data entry, reporting, and admin as needed
  • Identify process gaps and suggest improvements to tracking/documentation workflows
What We're Looking For
  • 1–3 years' experience in a coordinator, admin, or junior PM role — construction, telecom, or utilities industry preferred
  • Strong written and verbal communication skills; comfortable interfacing with clients and field crews alike
  • Highly organized with strong attention to detail and follow-through
  • Comfortable learning new software quickly; intuitive with digital systems and workflows
  • Ability to juggle multiple projects and shifting priorities
  • Valid driver's license (occasional site visits required)
Nice to Have
  • Familiarity with construction/telecom terminology (permits, locates, RoW, utility crossings)
  • Experience with project management or scheduling software
  • Knowledge of MS Office / Google Workspace at an advanced level
