Job description

UBEO Business Services, the premier provider of business technology products and services, is seeking to hire an IT Project Coordinator to join our team in Hartford, CT!
UBEO is a distributor/servicer of document equipment and software solutions. Primary products include Canon, Ricoh, Xerox and Konica Minolta multi-functional equipment and Kyocera printers. UBEO specializes in electronic document management software and integrations.
Department: ProIT
Reports To: Director of ProIT Operations
FLSA Status: Full-Time / Exempt
Purpose
The IT Project Coordinator is the go-to person for managing and coordinating customer-facing technology projects at UBEO. This role ensures projects are delivered on time, within scope and budget, while maintaining clear and effective communication with both customers and internal stakeholders. The Project Coordinator creates and maintains project plans, manages timelines and resources, and works closely with Engineers and Account Managers to ensure a high-quality customer experience.
Responsibilities
  • Maintain exceptional communication throughout all phases of the project lifecycle
  • Develop and manage detailed project plans, goals, milestones, and schedules using UBEO's PSA system
  • Identify required resources and ensure proper allocation to meet project timelines
  • Understand the objectives of each project and the role of each team member
  • Ensure project goals and requirements are clearly defined and agreed upon by all stakeholders
  • Coordinate the delivery and installation of technology solutions that meet quality and performance standards
  • Organize and manage all project phases to ensure timely and on-budget delivery
  • Proactively identify, communicate, and help resolve project risks and issues
  • Keep clients informed of project progress, anticipated changes, scheduled downtime, and related updates
  • Ensure successful transition of projects to production environments

  • Solid understanding of network infrastructure, server environments, and cloud-based systems (e.g., Server, Switch, Firewall, PC, Microsoft 365, Azure, AWS)
