WHO WE ARE


The World Anti-Doping Agency (WADA) was established in 1999 as an international independent agency to lead a collaborative worldwide movement for doping-free sport. As the global regulatory body, WADA's primary role is to develop, harmonize and coordinate anti-doping rules and policies across all sports and countries. Our key activities include: scientific and social science research; education; intelligence & investigations; development of anti-doping capacity; and, monitoring of compliance with the World Anti-Doping Program.


POSITION OVERVIEW


The Coordinator, Technology will provide administrative, operational, and coordination support to the IT & Cybersecurity Department and the Digital Insights Impact Area. Reporting to the CTO, the Coordinator serves as a central point for departmental operations, supporting governance activities, strategic initiatives, meeting and working group coordination, documentation management, stakeholder communications, and day-to-day administrative processes to ensure the efficient execution of departmental priorities.


KEY RESPONSIBILITIES


1. Administrative and Operational Support

  • Provide administrative support to the IT & Cybersecurity Department and Digital Insights Impact Area leadership and teams;
  • Coordinate calendars, meetings, workshops, and departmental activities;
  • Organize travel arrangements, expense claims, and procurement activities;
  • Support departmental communications, documentation, and reporting;
  • Maintain departmental records, planning calendars, and SharePoint documentation;
  • Liaise with internal departments to facilitate operational and administrative processes.

2. Governance and Working Group Coordination

  • Coordinate departmental meetings, committees, and working groups;
  • Manage meeting logistics, documentation, and follow-up activities;
  • Support cross-functional initiatives involving multiple stakeholders;
  • Maintain governance documentation, policies, procedures, and records.

3. Communications and Stakeholder Engagement

  • Support internal and external stakeholder communications;
  • Prepare and distribute reports, presentations, dashboards, and briefing materials.


QUALIFICATIONS AND SKILLS


  • Minimum 3-5 years of experience in an administrative, coordinator, project support, or operations role;
  • Experience supporting technology, digital, cybersecurity, data, or project management functions is considered an asset;
  • Demonstrated experience coordinating meetings, committees, working groups, or governance forums;
  • Strong organizational skills with the ability to manage multiple priorities simultaneously;
  • Advanced proficiency with Microsoft 365 applications, including Outlook, Teams, Word, PowerPoint, Excel, and SharePoint;
  • Strong attention to detail and commitment to accuracy;
  • Proven ability to handle confidential and sensitive information with discretion and professionalism;
  • Experience managing purchase orders, software renewals, and vendor agreements;
  • Excellent oral and written skills in one of the two WADA official languages (English/French) and very good command of the other official language; additional languages would be an asset;
  • No travel required;

APERCU DU POSTE

Le Coordonnateur, Technologie fournira un soutien administratif, operationnel et de coordination au departement des TI et de la cybersecurite ainsi qu'au domaine d'impact Perspectives numeriques. Relevant du Chef de la direction technologique, cette personne agit comme point central des operations du departement en soutenant les activites de gouvernance, les initiatives strategiques, la coordination des reunions et des groupes de travail, la gestion de la documentation, les communications avec les parties prenantes ainsi que les processus administratifs quotidiens, afin d'assurer l'execution efficace des priorites du departement.


LES RESPONSABILITES CLES


1. Soutien administratif et operationnel

  • Fournir un soutien administratif a la direction et aux equipes du departement de technologies de l'information et cybersecurite et du domaine d'impact des perspectives numeriques;
  • Coordonner les calendriers, les reunions, les ateliers et les activites du departement;
  • Organiser les deplacements, les notes de frais et les activites d'approvisionnement;
  • Soutenir les communications, la documentation et les signalement du departement;
  • Tenir a jour les dossiers du departement, les calendriers de planification et la documentation SharePoint;
  • Assurer la liaison avec les services internes pour faciliter les processus operationnels et administratifs.

2. Gouvernance et coordination des groupes de travail

  • Coordonner les reunions, les comites et les groupes de travail du departement;
  • Gerer la logistique des reunions, la documentation et les activites de suivi;
  • Soutenir les initiatives interfonctionnelles impliquant plusieurs parties prenantes;
  • Maintenir la documentation, les politiques, les procedures et les dossiers relatifs a la gouvernance.

3. Communication et engagement des parties prenantes

  • Soutenir la communication avec les parties prenantes internes et externes;
  • Preparer et distribuer des rapports, des presentations, des tableaux de bord et des documents d'information.


LES QUALIFICATIONS ET LES COMPETENCES


  • Au moins 3 a 5 ans d'experience dans un role administratif, de coordination, de soutien de projet ou d'exploitation;
  • Une experience dans le domaine de la technologie, du numerique, de la cybersecurite, des donnees ou de la gestion de projets est consideree comme un atout;
  • Experience averee de la coordination de reunions, de comites, de groupes de travail ou de forums de gouvernance;
  • Solides competences organisationnelles et capacite a gerer simultanement plusieurs priorites;
  • Maitrise avancee des applications Microsoft 365, notamment Outlook, Teams, Word, PowerPoint, Excel et SharePoint;
  • Un grand souci du detail et de l'exactitude;
  • Capacite averee a traiter des informations confidentielles et sensibles avec discretion et professionnalisme;
  • Experience de la gestion des bons de commande, des renouvellements de logiciels et des accords avec les fournisseurs;
