Job description

Executive Assistant

Manage people managers daily calendar including the coordination of internal and external meetings/conference calls, departmental off-sites and industry conferences/events.

Arrange all aspects of Executive Mgmtโ€™s travel by working with SAP internal travel agent. Includes booking car transportation, drafting detailed travel itineraries, and pro-actively responding to changes in the VPโ€™s schedule.

Complete detailed expense reports for people managers in SAP.

Support and advise team members in obtaining visas for international work travel.

Support People manager and team by working in Fieldglass, ISP and SAP IT Support on an as needed basis. Supporting the Executive Assistants.

Work with operations to track and manage travel budget, IOs, time tracking, and open POs, following up with outside vendors as necessary.

Track team assets, reporting to IT as needed.

Assist with onboarding, offboarding team members as well as contractors.

Create an efficient office environment through the organization of files, reports, and processes.

Coordinate team lunches, birthdays, showers, and going away parties to foster teamwork and good cheer.
