Job description

Position:  Building Secretary/Accounts Payable-10 month

Description

Under the supervision of the Superintendent, Principal, Director of Business Services, and Director of Student Services facilitates accounts payable process, building level needs including attendance, field trips, and communication

Qualifications

  • Proficiency using a variety of technology and software including word processors, spreadsheets, databases, and financial software
  • Capacity to learn new software and apply skills within the work environment.
  • Candidates must possess strong collaborative, communication, organizational and computer skills
  • Ability to work collaboratively, understand and carry out oral and written instructions, and interact positively with a variety of ages and cultural backgrounds
  • Ability to work independently, engage with the public, and appropriately communicate information to District administration and staff, as well as to the community
  • Bilingual Spanish preferred 

Rate of Pay

$33,000 - $36,000 Commensurate with qualifications and experience aligned 

Work Calendar

197 calendar days - 179 Student days plus 5 days before the start of school year, 5 days after the end of school year and 8 flexible days during the summer as scheduled with supervising administrators

Position hours are 8:00 am - 4:00pm

Essential Job Responsibilities:

  • Works collaboratively, understands and carries out oral and written instructions, and interacts positively with a diverse community.
  • Meet and greet visitors to the school
  • Facilitate student registration & residency processes
  • Organizes facility rental process and maintains facility rentals calendar
  • Prepare attendance data: student and staff
  • Schedule buses for field trips
  • Demonstrates ethical behavior and confidentiality of information about students in school environment and community
  • Supporting clerical needs for schools
  • Processing purchase orders, invoices, checks, and deposits
  • Process fees, support fee software, and develop invoices as necessary
  • Maintaining account payable records
  • Accurately utilize district financial software
  • Supporting attendance and payroll processes
  • Facilitating purchasing, accounting, and reporting processes for grants
  • Maintains and manages calendar, communications and invitations for MTSS, Special Education and 504 meetings. As needed, set up virtual meetings and troubleshooting with participants.
  • Assist with the organization of the Summer school registration/attendance
  • Coordinate preschool screening-schedule, document and registration management
  • Supports organization of student/staff pictures and yearbook
  • Process visitors through the background check system
  • Deliver and distribute mail
  • Prepares written material for the purpose of conveying information regarding school/district activities and procedures
  • Support school health office in administration of basic first aid and care to students
  • Respond to needs of staff, students and/or parents, and the community in an engaging and supportive manner
  • Communicate information regarding Before/Afterschool programs.
  • Ensures confidentiality is maintained in all matters
  • Participates in training to ensure ongoing certification in delivery of CPR and use of AED equipment
  • Works independently, engages with the public, and appropriately communicates information to District administration and staff, as well as to the community while practicing confidentiality of specific District information as necessary.
  • Participates in professional training to ensure ongoing certification as well as staying up-to-date on job specific content specific knowledge.
  • Ability to manage physical demands of a job: walking, navigating stairs, sitting for long periods of time, and lifting material.
  • Demonstrates ethical behavior and confidentiality of information about students in school environment and community
  • Supports communication portals including website, Winfield Road sign, Tiger Prints newsletter, and Tiger Times newsletter
  • Helps to maintain a positive school district environment, utilize appropriate language, interactions and positive discipline and model positive behavior
  • Supports implementation of report card distribution, attendance records and class lists through the use of student data management system
  • Organizes and implements parent-teacher conference registration and scheduling.
  • Organizes preschool screening including scheduling, registration, paperwork collection, and development of student files.
  • Maintains and updates district and school manuals (ie: parent/student handbook, employee handbook, emergency action plans)
  • Maintains a safe working environment
  • Some lifting of students, equipment, or materials may be required, not to exceed forty (40) pounds. Lifting of over forty (40) pounds will require the assistance of another adult
  • Perform such other duties as may be assigned by the Superintendent, Principal or Administrative designee
