We are currently seeking an Administrative Assistant to support our Business, and Tax, Trusts, and Estates departments. This position is a floating role responsible for assisting multiple attorneys and staff with various administrative duties, including providing coverage for employees who are on vacation, out sick or on leave.

This role requires exceptional customer service skills, strong time management abilities, and meticulous attention to detail. What You'll Do

  • Assist with coverage for administrative assistants, file clerks, and paralegals who are out of the office
  • Provide heavy calendaring support for attorneys, including scheduling and managing complex appointments
  • Coordinate with internal departments to confirm meetings and ensure scheduling accuracy
  • Complete billing entry and expense reports for attorneys
  • Communicate professionally with clients via phone and email
  • Create, update, and maintain database records with a high level of accuracy
  • Prepare routine correspondence and administrative documents
  • Help prepare documents for client meetings
  • Update project lists and spreadsheets
  • Prepare flow charts for clients to depict project details
  • Assist with document production, formatting, and organization


What You’ll Bring

Required

  • Minimum one year of administrative experience in a law firm or office environment
  • Excellent administrative, verbal, and written communication skills
  • Strong attention to detail with a high degree of accuracy
  • Exceptional customer service skills and a professional demeanor
  • Excellent time management and organizational abilities, with the capacity to manage multiple priorities
  • Accurate typing skills and prior experience with Windows and Microsoft Office applications
  • Ability to operate standard office equipment, including computers, photocopiers/scanners, and fax machines

 Preferred

  • Two years of experience as an Executive Assistant, Administrative Assistant, or Legal Secretary in a law firm setting
  • Experience working with document management systems and CRM platforms
  • College degree
