Job description

The operations specialist is a highly motivated and experienced individual responsible for optimizing day-to-day activities and streamline workflows that enhance physician recruitment profitability & overall effectiveness. This role is instrumental in analyzing and improving operational processes by identifying areas for enhancement and implementing strategies to increase productivity and efficiency. Position strengthens the performance of the Physician Recruitment team through expertise of all internal data systems related to Physician Recruitment; problem-solving technical, operational, and administrative issues. This role partners with a multitude of key stakeholders including recruiting leaders, reporting & analytics, HR & finance. 

Recruiting Operations

•Performs complex administrative duties relative to physician recruitment operations, including composing correspondence, and coordinating resources across corporate & division functions

•Database administrator and subscription manager for external recruitment databases, i.e., PracticeLink, PracticeMatch, HealtheCareers, Profiles, AAPPR, ABMS, Calendly, DocCafe, PreCheck, MGMA, etc. including monthly job posting reports, utilization metrics, etc. creating call to action for leadership

•Function as a Liaison between CRM/ATS system users and developers to resolve any technical issues they may experience

•Consults with Business Analyst for Physician Recruitment to maintain integrity between official reporting

•Partners with leadership and BA resources to manage staffing needs across physician recruitment team

•Responsible for bonus review, audit and payout of bonuses quarterly achieved by recruiter and sourcer personnel

•Consult and assist Business Analyst with Physician Recruitment reporting, both financial and operational in nature (e.g. service line, etc.)

•Implementation of recruitment policies and procedures for accounting and bonus purposes

•Collaborates with Training & Learning Specialist on department SharePoint site

•IT support for team when having any issues with equipment

•Supports day to day operations including but not limited to Kronos, physician recruitment inbox, & physician recruitment toll-free number, etc.

•Supports recruiting operations communication for Directors, Recruiters, and Division Coordinators and updates same audience on all new and changed procedures, both technical and administrative

Project Management

•Acts as project management support for recruiting operations, director and executive leadership team meetings including preparation of agendas, data/insights to support conversation, and follow-up of action items or deliverables

•Research, prepare, and analyze data for various projects as needed

•Research data for Special Projects as required; creates and formats reports for presentations by or to Senior Management

•Provides recommendations and direction for operational changes when needs are identified

•Supports recruiting operations communication for Directors, Recruiters, and Division Coordinators and updates same audience on all new and changed procedures, both technical and administrative

•Facilitates execution of recruiting operations monthly meeting cadence designed to keep personnel apprised of projects

•Supports day-to-day operations (e.g. KRONOS for leadership and for anyone else that needs help approving, etc.)

•Ad hoc support for in-person team meetings alongside Training & Learning Specialist

•Participates in educational activities and programs

•Practices and adheres to the “Code of Conduct” philosophy and “Mission and Value Statement”

• Attending meetings as assigned and reporting on actions 

EDUCATION & EXPERIENCE:

•High school diploma or GED is required. Associates or Bachelor’s degree in business administration is preferred; 3+ years related experience.

KNOWLEDGE, SKILLS AND ABILITIES:

•Knowledge of general management principles

•Knowledge of organizational policies, procedures, and systems

•Ability to work in a fast paced, high stress environment

•Strong interpersonal, communication, and organizational skills

•High level of proficiency with MS Office products including Outlook, Word, Excel, and PowerPoint
