Department Summary
Space Management Assistant supports the Space Manager in coordinating and maintaining accurate records of campus space usage. This role assists with processing space requests, generating reports, and performing administrative and operational tasks related to space planning and utilization within the university.
Position Overview
This part-time position is essential to facilitating a smooth and effective transition for the Space Manager into her role. This position provides structured, hands-on training and guidance in university systems, policies, procedures, and institutional workflows, which are critical to ensuring continuity and accuracy in space management operations. In addition to its training function, the role supports core operational responsibilities, including academic scheduling, event planning, space utilization reporting, and the coordination and optimization of university space resources. These functions are integral to instructional delivery, campus operations, and the successful execution of university events.
Minimum Qualifications
High school diploma or equivalent required; associate or bachelor's degree preferred. Prior administrative, facilities, or data management experience preferred โ€ข Proficiency in Microsoft Office Suite (especially Excel). Strong organizational skills and attention to detail. Effective written and verbal communication skills. Ability to manage multiple tasks and meet deadlines. Ability to work independently and collaboratively in a team environment.

Job Duties
  • Assist with the intake, review, and tracking of space requests from academic and administrative departments.
  • Maintain and update space management databases and records to ensure accuracy.
  • Support the preparation of regular and ad hoc reports on space utilization and occupancy
  • Communicate with campus stakeholders to gather information and provide updates on space requests
  • Help coordinate space audits, surveys, and verification activities
  • Assist in scheduling and logistics for space-related meetings and projects.
  • Ensure compliance with university policies and procedures related to space allocation and sage.
  • Provide general administrative support to the Space Manager as needed.
  • Perform other duties as assigned
