Job description

The Carrier Services Strategic Programs team is seeking a detail-oriented and process-driven Program & Operational Excellence Specialist to serve as the operational backbone of the team. This individual will own the team's governance cadence, initiative tracking, and continuous improvement engine - ensuring the team's operational guidance technology and process improvement initiatives move from ideation through delivery with rigor, visibility, and cross-functional alignment.
This role is the connective tissue between strategic planning and tactical execution. The specialist will facilitate daily stand ups and monthly consolidation sessions, maintain initiative health dashboards, coordinate shared AI/ML infrastructure requirements across multiple tech builds, and drive process standardization that enables the team to scale without adding complexity.
Key job responsibilities
Governance
- Facilitate daily stand-ups (15-min time-boxed), monthly goals cycles (planning, grooming, retrospectives, reviews)
- Own and maintain the team's initiative tracking system (Asana intake, SharePoint dashboards, monthly report out sessions)
- Ensure all annual initiatives have complete intake fields (Prior Year, Financial Impact, CAPEX, Tech Dependency, Analytics Dependency, P&L Impact)
- Prepare and distribute pre-read materials for leadership reviews, MBRs, and QBRs
- Document action items, decisions, and escalation paths from business reviews
- Maintain RAID log (Risks, Actions, Issues, Dependencies) across the initiative portfolio
- Own meeting cadence calendar and ensure cross-team scheduling alignment
Initiative Coordination
- Serve as the coordination point for the team's technology and process improvement initiatives across all team members
- Track initiative status, blockers, and cross-team dependencies on a weekly cadence
- Coordinate shared AI/ML infrastructure requirements across AI Hotspot, AI Compliance Assistant, AI BT Capping, and ACO initiatives
- Facilitate tech intake submissions and follow-up with cross functional teams
- Maintain initiative-to-pillar mapping and strategic alignment documentation
- Prepare initiative status summaries for leadership review and visibility
Operational Excellence
- Create and maintain comprehensive SOPs for the Carrier Services team.
- Identify and implement 1-2 process improvements per monthly goals cycle based on data
- Establish and maintain baseline metrics dashboard
- Drive adoption of standardized templates, checklists, and tracking mechanisms
- Maintain team knowledge base of common impediments and resolution patterns
Cross-Functional Stakeholder Management
- Coordinate with 3+ cross-functional teams (Tech, Product, Operations, Finance, Analytics)
- Build and maintain relationships with key stakeholders across multiple cross functional teams
- Facilitate cross-team dependency resolution within 3 days average
- Represent initiative status in program-level reviews and dependency mapping sessions
Business Review & Reporting Support
- Support weekly, monthly, and quarterly business review preparation with data pulls and narrative drafts
- Coordinate Newsletter content and distribution
- Manage team SharePoint site, document repositories, and communication channels
- Track and report initiative-level financial impact metrics
- Coordinate with Finance POC to ensure initiative business cases are current
