Title: Executive & Operations Coordinator
Type: 1099 Contract
Pay: $18-$25/hour

Job Summary: We're looking for a highly organized, resourceful problem-solver to support our executive team in a dynamic and varied role. This is more than a traditional assistant position-it's an opportunity to get hands-on experience in executive operations, event planning, marketing, and business development. You'll be the glue that keeps things running smoothly behind the scenes.
Responsibilities:
Executive & Administrative Support
  • Manage calendars, schedule meetings, and coordinate internal and external logistics.
  • Handle incoming and outgoing mail, organize digital documents, and assist with expense tracking.

Operations & Event Management
  • Plan and coordinate real estate and corporate events, from logistics to execution.
  • Book venues, manage guest lists, and oversee vendor coordination.

Travel & Vendor Coordination
  • Arrange executive travel, accommodations, and itineraries.
  • Research, source, and manage vendor relationships for business and personal needs.

Marketing & Branding Support
  • Assist with social media, email campaigns, and the creation of digital marketing materials.
  • Use Canva to design branded materials, flyers, and promotional content.

Client & CRM Support
  • Maintain CRM systems and assist in business development activities.
  • Support client communications and follow-ups.

Personal & Family Logistics
  • Assist with occasional personal errands, appointments, and family-related logistics.

Qualifications:
  • Experience in marketing, design, business or related field.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with CRM software, digital marketing tools, and social media management is a plus.
  • Experience in our Tech Stack: Basecamp, Clockify, Canva, HubSpot, and NordPass is a plus
  • Ability to handle multiple tasks and work effectively in a fast-paced environment.

  • Ability to work independently and proactively in a remote/contract environment.
