Position Overview
We are hiring an Office Administrator to help keep ACS running smoothly day to day. You will serve as a friendly, reliable first point of contact in our office and a key partner to our Office Manager, owning the administrative and logistics work that keeps the team unblocked. This is an in-office, hands-on role best suited for someone who loves staying organized, follows through, and takes pride in creating a great workplace experience.
What You'll Do
  • Serve as the front-door experience: greet guests, manage check-ins, handle calls and correspondence, and maintain a professional, welcoming office environment.
  • Keep office operations running smoothly: manage mail, deliveries, supplies, and day-to-day coordination so the team can stay focused on their work.
  • Coordinate and track shipments for marketing materials and remote/new hire kits; maintain inventory and ensure packages go out accurately and on time.
  • Process mail, receipts, and invoices accurately and promptly; maintain organized filing systems, trackers, and documentation to keep office workflows up to date.
  • Support vendor coordination and facilities issue triage, particularly when the Office Manager or Facilities Technician is unavailable.
  • Support office events, team activities, and onboarding logistics to ensure new hires have a smooth setup experience from day one.

What You'll Need
  • 1-3 years of administrative, office support, or customer service experience.
  • Detail-oriented and organized with excellent follow-through; nothing falls through the cracks on your watch.
  • Excellent communication skills and a warm, professional demeanor; proactive in anticipating needs before being asked.
  • Comfortable juggling multiple priorities and adapting quickly in a fast-paced startup environment.
  • Tech-savvy and quick to learn new systems; proficiency with Microsoft 365, SharePoint, and Slack preferred.
  • Understanding of secure workplace practices, including visitor logs, badge compliance, and comfort working within regulated environments such as CMMC/ITAR frameworks.
  • Experience in a startup, tech, or engineering environment is a plus, as is experience with shipments, inventory, or materials logistics.
