Job description

Department: Post Office
FLSA: Non-Exempt
Reports to: Post Office Supervisor
Designation: Part-Time Staff
Schedule: Academic year, 30 hours per week
10:00 a.m. to 4:00 p.m. Monday through Friday,
Department rotation Saturdays (generally every 3-4 weeks).
Travel: Rare
Start date: On or around August 24th, 2026
POSITION SUMMARY:
If you have a background in retail or related fields and are looking for a role where you can make a tangible difference, we encourage you to apply to join us as a Post Office Associate. Your expertise in customer service and attention to detail will be highly valued in our mission to serve the Hotchkiss community. Even if you donโ€™t have experience in a mail room or post office, but have related experience, we are ready to support you with training.
The Post Office Associate, under the guidelines of the US Postal regulations, sorts, meters, delivers, and transports mail for the community of 1,200 students and employees. This position is accountable for high-quality work performance in support of the best interests of the Hotchkiss community, to which this department serves.
The Post Office and Central Receiving accept incoming packages and mail for the School, which the team processes for organized, efficient, and accurate distribution. They provide the School community with internal postal and shipping services for outgoing mail and packages. In addition, they provide interoffice mail distribution services for the community.
The staff operate as a team and assist one another to ensure the continuity of these essential operations. They provide excellent customer service for the community with a high level of quality in receiving, mailing, and shipping services.
DUTIES & RESPONSIBILITIES:
  • Maintain confidentiality with information received or distributed, maintaining the trust of the School community.
  • Sort UPS packages received in Central Receiving on a daily basis.
  • Cross-train in Central Receiving to provide satisfactory coverage of Central Receiving when needed.
  • Work in the Procuredesk program to fill stock orders.
  • Meter, sort, and distribute mail and packages.
  • Complete Postal, Customs, UPS, and FedEx forms and prepare mail and parcels for dispatch.
  • Distribute UPS, Federal Express, U.S.P.S., and other carrier packages.
  • Sell stamps, handle cash drawers, and charge on debit/credit cards.
  • Assist in the delivery and picking up of interoffice and outgoing mail between building locations.
  • Run postage and prepare outgoing mail for pick-up.
  • Create and print daily postal reports from the mailing machine.
  • Comfortable with various software applications.
  • Serve as a courteous and professional representative of the organization at all times.
QUALIFICATIONS:
  • High School diploma or General Education Degree (GED).
  • Ability to lift and carry heavy items as needed, while adhering to safe lifting practices.
  • Prior experience in a Post Office or mail room is preferred but not required.
  • Prior experience in a retail or related environment is preferred but not required.
  • Demonstrated ability to maintain effective and professional working relationships and superior communication skills.
  • Excellent time management skills.
  • Strong attention to detail and accuracy.
  • Willingness to work flexible hours if required by the School's needs.
  • Excellent telephone and customer service skills.
  • Good organizational skills and ability to multitask.
PHYSICAL CONDITIONS:
While performing the essential duties of this job,
  • Possess a valid, OSHA-compliant Forklift Operation certification or be able to obtain employer-certified licensing within six months of employment (training and certification provided by the School).
  • The employee is regularly required to use their hands to type on a computer keyboard or controls.
  • Prolonged heavy lifting and the ability to lift packages approximately 5 ยฝ feet off the floor.
  • Ability to lift 70 pounds (postal weight limit). Heavier packages require 2 employees.
  • Ability to stand and walk for extended periods throughout the entire work day.
  • Ability to continuously reach and bend.
  • The noise level in the work environment is usually moderate, occasionally loud.
  • The Hotchkiss School is a tobacco-free environment.
