Position: Center Support Specialist
Location: SSM Health Rehabilitation Network- Day Institute
Type of Employment: Full-time
Schedule: Monday-Friday 8:30 AM- 4:30 PM
Center Support Specialist - Office Administrator
Status: Full-time
The Center Support Specialist supports their market and works closely under the guidance of the Director of Administrative Services and Regional Director to ensure the efficient coordination of patient services and administrative office duties of each center within their scope of responsibility
This position ensures compliance with relevant laws, regulations and established company policies and compliance programs in addition to ensuring all billing practices are accurate, timely and fully documented. The Center Support Specialist also ensures the highest level of customer service is provided to patients and their families, internal and external customers, vendors, co-workers and managers in addition to providing support and direction for patient services staff as well as coverage in the absence of a Patient Service Specialist. This position will also support skilled job training for newly hired Patient Service Specialists in addition to updates on policies and procedures, new technology and enhancements.

Responsibilities
  • Responsibility for between five and 12 centers.
  • Provide (at a minimum) all essential functions of the Patient Service Specialist job description.
  • Assist Director of OP Administrative Services with training and supporting all front desk staff.
  • Support front desk in answering and directing telephone calls.
  • Obtain patient, demographic, billing and insurance information; maintain current and accurate information in all scheduling and billing systems.
  • Ensure most recent versions of all patient forms are utilized in all centers of responsibility. Perform general clerical functions as necessary.
  • Ensure patient records (electronic and paper) are maintained and organized in accordance with our company retention policy.
  • Verify insurance eligibility of patients as needed and authorizations to determine if services are covered.
  • Coordinate communications with payors and Central Billing Office (CBO) to ensure accurate billing practices, enhance reimbursement opportunities, and reduce days sales outstanding (DSO). Includes correspondence with third party payor & referral source.
  • Provide explanation to patients advising them of their financial responsibility and payment requirement per visit.
  • Assist Director of OP Administrative Services with quality assurance program audits to ensure patient satisfaction and accuracy with center services.
  • Ensure timely reporting of key center statistics to market management for sales, revenues, cash and patient flow.
  • Maintain a system of controls to ensure proper handling of cash receipts, including daily entry in all applicable scheduling and billing systems. Ensure timely completion of the reconciliation process, which may include purchasing the weekly money order.
  • Work with patients, doctors, payors, CBO, Select Medical internal departments, etc. to solve problems.
  • Travel to each center as needed, at minimum quarterly.
  • Work with Center Managers, Market Manager, Regional Director and/or Director of OP Administrative Services to schedule coverage at centers requiring assistance.
  • Support on-going training of existing staff.
  • Ensure timely reporting functions at centers requiring reinforcement.
  • Report center deficiencies to Director of OP Administrative Services.
  • Assist Director of OP Administrative Services and/or lead new hire orientations.
  • Assist Center Managers, Market Manager, Regional Director and/or Director of OP Administrative Services in job-related tasks assigned.
  • Performs other duties or special projects as assigned.

Qualifications
  • High School Diploma or equivalent
  • Two to four years of medical/administrative and billing experience
  • One to Three years managing a small business office and supervising others (preferred)
