General Description
JOIN OUR TEAM AS A SPORTS & SPECIAL EVENTS COORDINATOR
The Sports & Special Events Coordinator, reports and provides overall support to the Tourism Assistant Director as well as serves as liaison between the DMO, local stakeholders, and sports and special event organizers. The Sports & Special Events Program Coordinator will be responsible for facilitating and hosting sports event site-visits, managing sports tourism industry digital platforms, providing accommodation assistance for sports and special events, attending sports tourism conferences, and providing event services to event organizers.
Essential Job Functions
The following statements describe the principal functions of this job and its scope of responsibility, but should not be considered an all-inclusive listing of work requirements. Individuals may perform other duties as assigned, including working in other functional areas to cover absences or relief, to equalize peak work periods or otherwise to balance the workload. Facilitate and host site visits and inspections for representatives of sports and special events clients such as regional, national, or international governing bodies; sports events rights holders; amateur, collegiate, and pro sports event organizers; festivals organizers; and other events that can potentially bring a significant economic impact to the County. Showcase Pasco County venues, hotels, and attractions in front of key sports and special event organizers.
Manage sports tourism industry platforms such as PlayEasy and Sports Tourism Index to generate sports event leads. Work with the Tourism Assistant Director in the recruitment and solicitation of new sports and special events with the goal of maximizing leads that get converted into actual room nights. Assist the Tourism Assistant Director in the contract management process and execution of the Sports Event Funding Program, Sports Event Sponsorship Program, and the Matching Marketing Sponsorship Program. Prepare and submit grant applications and proposals to the appropriate governmental funding sources including the Florida Sports Foundation, as well as submit final reports for reimbursements. Represent the destination at local, regional, and national sports industry trade shows, conferences, and conventions.
Prepare monthly sports and special events reports to be presented to the Tourist Development Council. Prepare and submit sports and special events updates to local hotels. Facilitate accommodation planning assistance for those events not working with a housing company. Occasional heavy lifting may be required up to 50 pounds. Perform other related duties as required and assigned.

  • A high degree of analytic ability and logical reasoning skills are required to address sometimes intricate and complex issues.
  • Independent judgment guided by general direction is required to research and communicate information.
  • Requires high level thinking to analyze issues and trends, and to provide effective findings and assessments in support of various organizational objectives.
  • Requires regular contact with C-level private industry executives, members of the public, elected and appointed officials, and staff. Requires developing and maintaining ongoing external relationships with local stakeholders, private businesses and other industry related professional associations.
  • Ability to handle sensitive or confidential information, complex situations, and ability to coordinate multiple functions while attending to additional duties and responsibilities as required.
  • Ability to create and present ideas and findings clearly and concisely in written, oral, and graphic form.
  • Ability to interpret applicable legislation, rules, and codes. Ability to operate a computer and industry-related software.
  • Ability to prioritize simultaneous assignments.
  • Excellent verbal, written, analytical, presentation and interpersonal skills.
  • Ability to exercise mature judgment and tact.

Minimum Requirements
PHYSICAL SKILLS: Ability to communicate effectively using verbal, written and visual communication. Occasional heavy lifting may be required up to 50 pounds.
EDUCATION, TRAINING AND EXPERIENCE: Graduation from an accredited college or university with a Bachelor's Degree in marketing, communications, or a related field with two (2) years' of experience in project coordination required. Content Management System (CMS) and Customer Relationship Management (CRM) experience preferred.
LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess and maintain a valid Florida driver's license.
