Job description

Overview
The Assistant to the Dean reports directly to the dean and oversees and supports all administrative functions in the dean's office at the Lander College for Women. This role interfaces with students, faculty and other administrative personnel in the dean's office, and in many cases, is the first person to interact with those who come in or call to speak with the dean. The Assistant to the Dean should have a passion for student success.
Lander College for Women is currently hiring two Administrative Assistant to the Dean positions.
Responsibilities
  • Facilitate administrative operations in the Dean's office
  • Ensure that faculty and student inquiries are responded to in a timely fashion
  • Arrange appointments, answer phone and direct calls for Dean
  • Maintain calendar of meetings and events
  • Facilitate contact between Dean and Staff and Students
  • Supervise work-study students
  • Facilitate peer tutoring program, including onboarding new tutors
  • Maintain student scholarship information
  • Assist professors and administration, as needed
  • Collect and file student forms
  • Connect with Student Services and other administrative offices, as needed
  • Assist at graduation and special events
  • Proctor exams, when needed
  • Assist Political Science Department Chair with exams, Canvas, and communication with department faculty and students
  • Organize and administer Final Make-Up exams
  • Help at Orientation, Open House, and various on-campus events
  • Submit reimbursement requests for Dean
  • Work closely with Dean and fulfill various tasks, as needed

Qualifications
Education/Experience
  • Bachelor's degree required
  • Experience in Customer Service is a plus
Knowledge/Skills/Abilities
  • Ability to effectively interact with students, faculty, staff and parents, in person, via email and in phone conversations
  • Excellent oral and written communication and organizational skills
  • Ability to multi-task and prioritize work
  • Excellent interpersonal skills
  • Strong customer service skills
  • Proficiency in Microsoft Office Word, Excel, PowerPoint and Outlook
  • Familiarity with Zoom, Box, Banner are a plus
  • Proficiency with computers
  • Experience with database management
  • Proficiency in social media - a plus
