Job description

The campus Administrative Assistant will provide general administrative support to Campus Director and on campuses with a Practical Nursing (PN) Program, support PN program management.

The Administrative Assistant will… 
  • Answer multi-line phone system and routes calls promptly
  • Answer all calls within an average of 4 to 5 seconds
  • Greet and monitor visitors, determine their needs, and notify the proper person/office
  • Perform general clerical duties such as faxing, addressing correspondence, and word processing support as required
  • Receive and sort mail
  • Enter, monitor, and update student and/or alumni information into CampusVue 
  • Place orders and create stipend disbursements in Campus Nexus Finance (CNF)
  • Maintain electronic and/or paper files and records for students and/or employees, as directed, maintaining confidentiality at all times
  • Prepare and maintain faculty files, accrediting forms for faculty.
  • Coordinate check requests, p-card requests and reconciliation, and/or processing of campus invoices to Accounts Payable
  • New term, end of term, graduation preparation duties (eg, ordering uniforms, badges, laptops, certificates, pins, etc.)
  • Special event administrative support 
  • Serve as temporary back-up for Education Administrative Assistants 
  • Complete special projects as assigned 
  • Support PN Program management with routine, as well as, more advanced administrative support including but not limited to preparation for Board of Nursing Examiners monthly meetings and other requirements. 

Position Requirements:

  • High School Diploma or GED required
  • 2 years related work experience required
  • Excellent customer service skills
  • Maintain a professional, lobby environment for all visitors 
  • Proficiency in word processing and spreadsheets to generate form letters and memos
  • Must possess good working knowledge of English, spelling, grammar and punctuation
  • Ability to operate standard office machines
  • Proficiency in word processing and spreadsheets and database software with ability to create spreadsheets and databases
