The Spa Coordinator is responsible for providing 5-star service to our guests when they visit the Spa, attending to their needs, and multi-tasking with the daily operation of the Spa's front and back of the house. This position is considered the first and last impression of the Spa for all guests visiting or receiving treatments.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Book spa appointments for on property guests
• Opening & Closing procedures as scheduled
• Answer all incoming phone calls and retrieving messages from VM
• Coordinate therapist, nail techs, and esthetician schedules daily., and ensuring lunch breaks, balancing, etc.
• Ensure that the "Look" of the Spa meets Blackberry Farm standards including housekeeping duties
• Assist in the stocking and restocking of towels, linens, and other spa related items within the Spa
• Complete confirmations for spa treatments for the following day
• Oversee all billing and reconciliation after the appointments have been completed
• Responsible for opening and closing duties of the Spa
• Answer guest's questions about Spa
• Search for notes to be added with appointments and share pertinent information with therapists. Create new notes when necessary
• Check for a final balance of rooms for the following day's appointments
• Verify the accuracy of the following day's services
• Assist with inventory counts as needed
• Make Maintenance and Service requests as needed (notify MOD)
• Coordinate guest transportation
• Sale of spa treatments and products
• Assist with stocking retail
• Promote in-house sales to fill in available services daily
• Greet all guests and assist them as necessary
• Report to MOD any spa office supplies needed
• Complete daily task list
• Open the door for all entering guests
• Provide spa tour of the relaxation area, spa changing room, lockers, and steam shower
• Stock lockers, towels, and amenities as needed, and remove any trash, dirty linen, or sandals
• Responsible for the cleanliness and organization of locker rooms, lounge, and spa dispensary and pool
• Ensure that an adequate supply of clean towels, robes and guest-wear are available
• Maintain a clean, neat, and organized desk space by wiping counters, keeping counters clutter-free, and organizing drawers and cabinets
• Assist with organizing linen storage area, folding robes, and restocking towels
• Assist therapists in flipping rooms, stocking, cleaning, and sanitizing equipment/work areas as needed
• Assist in the set-up of In-Room services and transportation of therapist and/or spa amenities as needed
• Shifts are: 7:30 AM-3:30 PM, 8:30 AM- 4:30 PM, and 11 AM-7 PM (summer hours 12 PM-8 PM). These are floating shifts and no schedule is set
Must comply with all company policies and procedures.
Regular and consistent attendance is required to perform the essential functions of this position.
Must be able to work well with other Team Members, Managers, and interact with our guests.
Must have the flexibility to work nights and weekends.
EDUCATION and EXPERIENCE
• High school diploma or equivalent
• Microsoft Office computer skills
LANGUAGE SKILLS
• Must have excellent written and verbal communication skills
• Must be able to communicate effectively with guests, managers, and team members
MATHEMATICAL SKILLS
• Basic knowledge and understanding of math
REASONING ABILITY
• Must be able to exercise judgment and make decisions based on job knowledge and awareness of company goals
PHYSICAL DEMANDS
• Must be able to lift up to 35 lbs.
• Must be able to stand for extended periods
• Must be able to climb stairs regularly
• Must be able to operate a company vehicle or golf cart
WORK ENVIRONMENT
