Software Guidance & Assistance, Inc., (SGA), is searching for an IT Team Coordinator for a CONTRACT assignment with one of our premier Global Consumer packaged goods clients in Stamford, CT
The Team Coordinator plays a crucial role in supporting the smooth operation and efficient functioning of the team. Your primary responsibilities will be to coordinate support services across the function, facilitate collaboration and communication, and generally maximize the contribution of the Leadership Team by providing operational support.
Your 'day to day':
  • Communication facilitation: Serve as a central point of contact for team members, relaying information, messages, and updates between different individuals and departments. Prepare documents and minutes of the meetings, store and track meeting minutes and follow up actions.
  • Coordination and scheduling: Organize and schedule team meetings, prepare agendas, and ensure timely distribution of meeting minutes. Coordinate travel arrangements and accommodation for team members when necessary. Clear calendar of expected milestones for submitting updates and management reviews.
  • Documentation and reporting: Maintain accurate records, files, and databases related to team activities. Prepare reports, and other materials as required.
  • Budget maintenance: Assist the business with PO creation and tracking to ensure the correct allocation of cost, and PO / contracts approval. Maintain MSA, SOW, PO and Invoice records across the team.
  • Task and project management: Assist in assigning tasks and tracking their progress. Collaborate with team members to ensure deadlines are met and provide support as needed. Help prioritize projects and allocate resources effectively.
  • Process improvement: Identify areas for efficiency enhancement and propose solutions to streamline team workflows and optimize productivity.
  • Training and onboarding: Assist in the onboarding process for new team members, ensuring they have the necessary resources and information to integrate smoothly into the team. In addition, support Training administration and tracking to ensure participation.
Who we're looking for:
  • Bachelor's degree in Business Administration or related technical education or certification program preferred.
  • Minimum of 3 years of experience in an IT team Coordinator/Specialist.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Proficiency in using productivity tools such as HCM software, travel & expenses tools, service center ticketing systems, project management tools, collaboration platforms.
  • Command of Microsoft Office, especially Excel and PowerPoint.
  • Ability to adapt priorities readily in a changing environment.
  • Strong focus on timeliness and quality of work product.
  • Proactive in identifying opportunities to add value in the scope of the role.
  • Adept at anticipating and solving problems resourcefully.
  • Strong interpersonal skills, with the ability to build rapport and work collaboratively in a team setting.
  • Strong communication skills, with the ability to effectively interact with individuals at all levels of the organization.
  • Ability to maintain composure and professionalism under pressure and when interacting with a wide variety of people.
  • Ability to operate with a high level of discretion and confidentiality.
