Position Summary

The Shipping Logistics & Route Clerical Manager oversees the administrative and operational workflow for route batching, manifest creation, and paperwork execution within the Shipping Department. This role is responsible for ensuring that all shipping orders are accurately scheduled, batched, verified, and documented across internal tracking systems (PrefGest, SQL, Viewport) and Sharedrive tools.

Key Responsibilities & Duties

  • Orchestrate Route Batching: Execute order batching and update system models/submodels.
  • Manage Draft Manifests: Build and update standardized Excel route manifests on the Sharedrive, accurately logging customer data, delivery cities, invoice numbers, and COD amounts.
  • Audit Paperwork & Route Packets: Collect, sort, and assemble physical route packets.
  • Coordinate Load Preparation: Cross-reference system batches against manifests 3 days prior to delivery, generate final load lists, and direct completion timelines with warehouse loaders.
  • Execute Schedule Adjustments: Process order pulls and pushes instantly across PrefGest, Sharedrive manifests, and physical route folders.
  • Validate Dispatch Compliance: Verify load completion, collect loader scan logs, input PSSP/Vista orders, print out-of-state DOT permits, and sign off on final route packets.
  • Spearhead Cross-Departmental Communication: Proactively log priority and special orders,, maintaining clear line-of-sight updates between operations, office staff, and floor teams.
  • Deliver Accountable Customer Service: Resolve schedule changes, order pulls, and route inquiries promptly to ensure accurate delivery expectations and seamless customer service across all routes.

Experience

2+ years in shipping operations, route dispatch clerical duties, or logistics administration.

Customer Service & Interpersonal

Proven ability to communicate clearly and professionally across office administrative staff, warehouse loaders, drivers, and management to resolve operational issues and manage route expectations.

Software Proficiency

  • Enterprise & Database Systems: PrefSuite, Oracle or similar ERP use and report tracking.
