Commercial HVAC Service Operations Manager

Job Type: Full-Time (In-office)

Location: Cranford, NJ

Schedule: Monday โ€“ Friday, 7:30 AM โ€“ 4:30 PM

Compensation: $90,000 โ€“ $125,000 annually (Salaried) + Performance-based bonus

Position Overview

We are seeking an experienced Commercial HVAC Service Operations Manager to lead our service department. The ideal candidate must have a strong commercial or industrial HVAC background and exceptional communication skills. You will be responsible for supervising field teams, building strong customer relationships, and managing vendor interactions to ensure efficient, high-quality service.

Minimum Qualifications

  • 10+ years of experience in the commercial/industrial HVAC industry.
  • 3+ years of experience in a management or supervisory role.
  • Exceptional leadership, customer service, and vendor management skills.

Key Responsibilities

Team Leadership & Daily Operations

  • Manage, train, and support service technicians, dispatchers, and administrative staff.
  • Oversee scheduling, dispatching, and workload distribution to ensure safe, on-time job completion.
  • On-Call: Participate in a manager on-call rotation (one week/month) to handle emergency dispatching.

Customer Relations & Strategic Growth

  • Act as the primary contact for escalated concerns and conduct site visits to build client relationships.
  • Assist with service quotes, proposals, and recommendations for repairs or upgrades.
  • Collaborate with management to identify growth opportunities and track contract renewals.

Financial & Resource Management

  • Approve invoices, timesheets, and purchase orders, ensuring accurate billing and cost control.
  • Submit completed jobs to invoicing within two (2) business days and follow up on warranty credits.
  • Oversee inventory (tools, vehicles, truck stock) and coordinate with vendors for the best pricing.

Technical Quality, Safety & Compliance

  • Provide technical troubleshooting support for complex HVAC issues and review job closeouts.
  • Enforce OSHA safety policies, conduct quarterly safety meetings, and ensure code compliance.
  • Track KPIs, maintain accurate service records, and oversee preventive maintenance schedules.
