Job Description
The Medical Assisting Externship Coordinator plays a vital role in bridging the gap between classroom instruction and hands-on workforce experience. This position manages all aspects of the externship process-including site development, student placement, compliance, and documentation with the ultimate goal of converting externship opportunities into employment outcomes.
The Externship Coordinator fosters strong partnerships with healthcare employers who are seeking to hire qualified graduates and ensures students begin and complete their externship modules on time. By supporting both students and externship sites, this role directly contributes to program completion, graduate employment benchmarks, and institutional compliance with accreditation standards
  • Secure, maintain, and expand a network of externship sites that prioritize externship-to-hire conversions.
  • Coordinate student externship placements to ensure 100% on-time starts with the beginning of the externship module.
  • Monitor student attendance, progress, and completion of required externship hours to support timely graduation.
  • Conduct site visits, mid-point check-ins, and final evaluations to ensure high-quality learning environments and address issues proactively.
  • Confirm all required documentation (immunizations, agreements, evaluations) is complete and compliant prior to placement.
  • Collaborate with Career Services Advisors to align externship experiences with long-term employment opportunities.
  • Maintain accurate, real-time records in the Student Information System, including documentation required for accreditation and regulatory compliance.
  • Provide clear communication and support to students and site supervisors regarding expectations, policies, and program requirements.
  • Represent the college professionally with employers and community partners; participate in outreach and career events as needed.
  • Serve as a student advocate by troubleshooting challenges, resolving concerns, and ensuring positive externship experiences.
  • Extern-to-Hire Conversion: Minimum 50% of students receive job offers from their externship site; goal of 70%.
  • On-Time Placement: 100% of students begin externship on time with the module start.
  • Completion Rate: 95%+ of students complete all externship hours and required evaluations.
  • Last Date Attended: Address and resolve all attendance concerns within 14 days after student's last day of posted attendance.
  • Site Development: Consistent growth in the number and quality of affiliated externship sites based on student externship site placement needs each module.
  • Compliance & Documentation: 100% timely and accurate submission of site agreements, immunization records, student evaluations, and system documentation.
  • Satisfaction: Positive feedback from students and externship sites on quality, communication, and overall experience.

Qualifications
  • Required: Minimum of three (3) years of hands-on Medical Assisting experience that supports qualification to serve as the externship instructor of record under applicable accreditation guidelines and institutional requirements.
  • 2+ years of experience in project coordination, community engagement, employer relations, or career services preferred.
  • Strong organizational and time management skills; proven ability to manage multiple priorities and meet deadlines.
  • Excellent verbal and written communication skills with a professional and approachable demeanor.
  • Customer-service mindset with the ability to build and maintain positive relationships with students, employers, and faculty.
  • Working knowledge of the healthcare industry.
  • Valid driver's license and reliable transportation required; ability to travel frequently for externship site visits.
  • Proficient in Microsoft Office Suite; comfortable using data tracking systems, Student Information Systems (SIS), or CRMs.
  • Familiarity with ABHES & ACCES accreditation and prior experience in externship or career services or is a plus
