Job description

Access is a premier manufacturer’s representative and service provider supporting mission-critical infrastructure across Wisconsin and the Upper Peninsula of Michigan.

We work on systems where failure is not an option. Power, cooling, and monitoring solutions that keep facilities operational.

We are looking for a driven, detail-obsessed Parts Coordinator who takes pride in getting things right and is energized by solving problems for customers.

This is not a passive role.

The Role

This role is responsible for researching, identifying, quoting, and coordinating parts for service work and customer needs.

You will work closely with:

  • technicians in the field
  • service leadership
  • manufacturers
  • customers

You will also play a key role in supporting and growing our parts business, but only through technical accuracy, trust, and execution.

A successful Parts Coordinator:

Core Responsibilities

Technical Parts Research (Priority #1)

  • Identify correct parts for complex systems and equipment
  • Work through manufacturer documentation, BOMs, and support channels
  • Validate part numbers and compatibility before quoting or ordering
  • Support technicians in diagnosing and sourcing correct components

Accuracy is non-negotiable in this role


Quoting & Order Execution

  • Prepare accurate and complete parts quotes
  • Process orders with manufacturers and suppliers
  • Track orders and proactively manage timelines
  • Ensure orders are completed correctly from start to finish
  • Warranty execution with suppliers


Customer Communication

  • Communicate directly with customers regarding parts needs
  • Provide updates on availability, pricing, and lead times
  • Build trust through responsiveness and follow-through


Service Team Support

  • Coordinate with dispatch and technicians to ensure jobs are properly equipped
  • Help ensure service work runs efficiently
  • Act as a key support function for field operations


Parts Business Growth (Built on Trust)

  • Identify opportunities to support customers with additional parts needs
  • Follow up on quotes and open opportunities
  • Build long-term customer relationships

Compensation

  • Hourly Pay: $22–$25 per hour
  • Performance Bonus: Target bonus of 6% of annual earnings
  • Quarterly bonus tied to:
    • Parts Gross Profit
    • Parts Revenue
    • Execution and performance (manager score)
  • Performance accelerators up to 125% payout
