Position Description
Summary:
The Shipping & Receiving Coordinator is responsible for the accurate receipt, storage, and distribution of all incoming materials, and the coordination of outbound shipments to job sites and customers. This role serves as the primary point of contact between the facility, freight carriers, and internal project teams to ensure materials move in and out on time and are properly documented throughout.
Essential Duties and Responsibilities:
Receiving:
- Receive and sign for deliveries; compare product against Purchase Orders, Packing Slips, and/or Invoices to verify quantities and specifications.
- Inspect incoming materials for damage or discrepancies; document findings and initiate freight claims as needed.
- Unload/Load a variety of materials safely and efficiently using a forklift or other material handling equipment.
- Label, organize, and store received material in designated locations; maintain inventory accuracy in ERP/MRP system(s) as materials arrive.
- Process vendor returns/exchanges to resolve shipping errors, missing items, or non-conforming product(s).
- Communicate with vendors and internal customers regarding shipment status, delays, or quality issues.
Shipping & Outbound Freight Coordination:
- Schedule and confirm LTL, flatbed, and specialty freight carriers; communicate delivery schedules to meet customer-expected timelines.
- Prepare accurate Bills of Lading (BOLs) for all outbound shipments, including commodity descriptions, weights, dimensions, and hazmat classifications where applicable.
- Verify outbound shipment contents against pick lists, release schedules, or customer purchase orders; coordinate with Project Managers and the Shop Scheduler to align with job site delivery windows.
- Oversee or perform outbound loading; ensure loads are properly staged, secured, and protected for transit.
- Maintain shipping documentation files (BOLs, carrier confirmations, delivery receipts, PODs) and track shipments; proactively communicate delivery status to project teams.

Position Requirements
Skills/Qualifications (Competencies):
- High school diploma/GED required, associates degree preferred.
- 3+ years of shipping, receiving, warehouse, or manufacturing scheduling operations experience required.
- Demonstrated experience coordinating freight carriers and preparing Bills of Lading.
- Good written and oral communication and organizational skills.
- Good understanding of warehouse safety regulations.
- Physical dexterity and experience operating forklifts.
- Proficient in Excel and strong knowledge of data entry, scheduling, and inventory software programs.
