Medical Student Education (MSE) at the Indiana University (IU) School of Medicine supports more than 1,400 Doctor of Medicine (MD) students across 9 statewide campuses, delivering an innovative curriculum that integrates foundational science with early clinical experiences. Job Summary
Department Specific Responsibilities
  • Serves as the primary administrator for departmental purchasing activities, including processing requisitions and orders through BUY.IU, creating and tracking purchase orders, coordinating with vendors and suppliers, monitoring order fulfillment, resolving purchasing issues, and ensuring compliance with university procurement guidelines.
  • Reconciles departmental P-Card transactions, verifies supporting documentation, ensures compliance with university policies, identifies discrepancies, and maintains accurate records for audit and fiscal accountability purposes.
  • Coordinates the student housing program by reviewing and approving housing requests, serving as the primary liaison with local hotel partners, managing reservation processes, monitoring occupancy needs, reconciling hotel invoices, resolving housing-related issues, and ensuring appropriate use of departmental resources.
  • Trains, coaches, and supports faculty, staff, student employees, and other stakeholders on operational processes, purchasing procedures, university systems, and departmental workflows; provides ongoing guidance to encourage consistency, compliance, and effective execution of responsibilities.
General Responsibilities
  • Coordinates operational activities and administrative processes within the unit; manages assigned workflows and resources to support effective service delivery and operational objectives.
  • Analyzes routine to moderately complex operational issues, determines appropriate solutions within established guidelines, and escalates matters requiring broader review or approval.
  • Reviews operational processes and workflow practices to identify inefficiencies, service gaps, or compliance concerns; recommends and supports implementation of process improvements.
  • Collects, maintains, and evaluates operational information and performance data; prepares analyses, reports, and recommendations to support departmental planning and decision-making.
  • Applies and interprets university policies, procedures, and operational guidelines in carrying out responsibilities; maintains documentation and records to support compliance and operational accountability.
  • Collaborates with internal stakeholders to understand operational requirements, provide guidance on established processes, and facilitate resolution of operational questions and concerns.
  • Monitors operational activities, projects, or service outcomes within assigned areas of responsibility; communicates status, identifies risks or concerns, and recommends actions to support successful results.
