Reports to: Director of Transportation / Assistant Director of Transportation
Compensation: Auxiliary, Level 3
Secretary - Transportation Center
Summary: Process Transportation Department payroll, assign/process/submit purchase orders and trips, and maintains department confidential information or records. Timely and regular attendance is required.
Essential Duties and Responsibilities:
  1. Provide accurate and timely processing of department payroll.
  2. Process and submit department purchase orders in an accurate and timely manner.
  3. Maintains daily dispatch information for accuracy.
  4. Process, assign, post and invoice all department trips.
  5. Process and record all incoming payments.
  6. Maintains confidential files.
  7. Oversee reservations for corporation auxiliary vehicles.
  8. Maintains confidentiality when appropriate.
  9. Assist with 2-way radio calls from bus operators when necessary.
  10. Perform general clerical tasks (i.e. typing, filing, record keeping, mail sorting and distributing, duplicating).
  11. Answer telephones, and respond to questions/concerns or refer callers to proper authority.
  12. The Director of Transportation and Assistant Director of Transportation according to specific needs will make task assignments for this position. The administrator may have additional input in identifying other preferred qualifications and/or appropriate duties that may exceed those described above.
  13. Follow other directives from the Director of Transportation, Assistant Director of Transportation, and the Superintendent that serve to improve services to the students and patrons of the Penn-Harris-Madison School Corporation and are required for the successful operation of the PHM Transportation Department.

Qualification Requirements:
  1. High school diploma or equivalent.
  2. Accounting and supervisory experience.
  3. Proficiency with computer software programs in word processing, database, and electronic spreadsheets.
  4. Working knowledge of the corporation's geographic layout and boundaries.
  5. Confidential, trustworthy, self-motivated, attentive to details and have the ability to work efficiently and patiently under pressure and stressful conditions.
  6. Able to quickly analyze a situation and provide timely solutions.
  7. Demonstrate well-developed communication skills both verbal and written, necessary to interact in a professional manner to project a positive image that is consistent with PHM's philosophy.
  8. Willingness to improve and/or develop job-related skills.
  9. Excellent organizational, interpersonal and customer service skills.
  10. Good time management skills and ability to multi-task, prioritize work and give exceptional attention to detail.
  11. Excellent work habits, attendance record and must successfully complete and pass all criminal history and child abuse clearances.
  12. Shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the corporation.
