Job Summary:  

The Administrative Assistant for Building Maintenance and Base Experience provides high-level operational and financial processing support to the department’s leadership team. This role ensures smooth department operations through effective communication management, documentation support, and facilitation of administrative workflows. Acting as a central connection between leadership, staff and vendors, the position supports financial processing, reporting, onboarding, and day-to-day logistics critical to departmental success. The ideal candidate will be a self-starter and thrive in a flexible, fun environment.

Job Specifications:  

  • Starting Wage: $21.47/hr - $26.29/hr

Job Responsibilities:

Financial Systems Support:

  • Process invoices, payment requests, purchase orders, and other financial documents using Coupa and OnBase software systems
  • Reconcile and track monthly expenses/revenue and Capital projects
  • Prepare and process HOA and Stakeholder billings
  • Assist with payroll processing and tracking payroll data

Administrative & Communication Support:

  • Ensure timely vendor and stakeholder communication
  • Prepare and distribute departmental reports, presentations, meeting materials, and internal communications
  • Maintain organized workflows, records, files, and meeting minutes

Operational Support:

  • Assist with new hire onboarding processes and oversee training and compliance tracking records
  • Maintain general supply and inventory management
  • Assist with work order tracking and systems training 

Job Requirements:

  • 1–2 years of experience in an administrative role with varied responsibilities
  • 1-2 years of experience in basic bookkeeping/purchasing and receiving systems; preferred experience with Coupa (purchasing/receiving) and OnBase (invoice processing) systems
  • Proven organizational, accuracy, time-management, and multitasking skills.
  • Excellent written and verbal communication abilities
  • Proficiency with Microsoft Office Suite and Microsoft Teams
  • High School Diploma or GED required
  • Ability to ski or snowboard preferred

The expected pay range is $21.47/hr - $26.29/hr. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
