Position Overview

As the gatekeeper of a majority of the schoolโ€™s data, this position is an integral part of the Academic Resource Center (ARC) Team, reporting to the Director of Technology. The Database Manager and Registrar is responsible for the organization, presentation, interoperability, and analysis of the Schoolโ€™s data and serves to support the Schoolโ€™s academic and administrative data needs, both in-person and remotely. This position directly oversees the schoolโ€™s Blackbaud SIS and LMS, all academic records, academic scheduling, as well as provides strategic and operations support for associated Blackbaud products (Raiserโ€™s Edge, Financial Edge, Tuition Management). The position also helps administer the data flow from the database of record to other school data systems. Some examples include August Schools, Finalsite, and Ravenna. Additionally, the position is tasked with managing the Schoolโ€™s data to aid in forward-thinking, data-driven decision-making. The Database Manager and Registrar also demonstrates a passion for learning and enthusiasm for new technology within an educational setting, specifically in supporting diverse school constituents including students, faculty, staff, and parents.


Primary Responsibilities

  • Manage and maintain the SIS (Blackbaud) as the main database of record for academic and administrative use.

  • Serve as the liaison between the ARC Team and other School Offices for their data needs.

  • Coordinate with the Human Resources Department to onboard and offboard employees.

  • Coordinate with the Admissions Office to onboard incoming students and families and manage the data flow between Ravenna and Blackbaud.

  • Support the Business Office with annual re-enrollment and enrollment contracts and their needs in Financial Edge NXT.

  • Support the Advancement Office with their database needs in Raiserโ€™s Edge NXT.

  • Create and maintain all academic records including grade plans, access, education verification, work permits, and records requests for students, and for-credit Marlborough Summer offerings.

  • Facilitate the annual academic scheduling process in partnership with the Academic Leadership Team, supporting the development and implementation of the course of study, teacher schedules, course requests, and student enrollment processes.

  • Support the Educational Support and Health Offices with their data needs, including August Schools support, summer forms, student learning plans, and Raptor reporting.

  • Leverage School data housed within our systems to create dashboards or exports to help aid data-driven decision-making.

  • Coordinate and lead orientations, workshops, and training for faculty, staff, and students on the day-to-day use of MyMarlborough and best practices for success.

  • Serve as the main point of contact for school photos to be used throughout School systems.

  • Work with members of the ARC Team to support diverse user needs and to serve as a technical resource for employees, students, parents, and other constituents.

  • Stay current on new trends in technology including data privacy, security, and interoperability.

  • Maintain all data used for redundancy efforts and assist with remediation efforts resulting from test findings and risk assessments.

  • Interface with vendors as needed to resolve issues and maintain relationships.

  • Perform other departmental duties as required.


Skills, Knowledge, and Abilities

  • Experience in and passion for working in an educational environment with a proven track record of successful academic records creation and management.

  • Demonstrated knowledge and experience with database design, management, and security; familiarity with Blackbaud K-12 systems is preferred, but not necessary.

  • Detail-oriented and the ability to prioritize tasks and meet deadlines.

  • Solutions-oriented with a passion for improving efficiencies with data collection and analysis.

  • Excellent organizational, analytical, interpersonal, and written and oral communication skills.

  • Resourceful problem-solver with a proven record of maintaining confidentiality and exercising sound judgment.

  • Highly organized with the ability to work successfully either independently or in collaborative groups, and to work in a fast-paced environment while juggling multiple priorities/deadlines.

  • Demonstrated experience working with constituents and vendors in person or over the phone.


Qualifications and Other Requirements

  • Bachelorโ€™s of Arts or Science Degree preferred, ideally in Data Science, Computer Information Systems, or related Information Technology (IT) field or specialization (professional certification may be considered as a substitute for degree requirement).

  • Minimum of 3 to 5 years of progressive experience in the field of academic records management and IT, or related field, preferably in an education setting.

  • Excellent communication and interpersonal skills and resourceful problem-solver.

  • Excellent organizational skills and ability to manage multiple deadlines.

  • Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.

  • Flexibility to work evenings and weekends as needed.
