Job description

Position Summary:
The Data Coordinator supports the school by managing all data systems, ensuring accuracy in state and district reporting, and providing day-to-day technology support for staff and students. This role ensures the smooth operation of digital learning platforms, troubleshoots devices, and maintains compliance with data security standards. Additionally, the Data Coordinator manages all aspects of school enrollment and the enrollment process, while also providing front office support as needed to ensure efficient school operations.
Data Management & Reporting:
  • Support the school by managing all data systems, ensuring accuracy in state and district reporting, and providing day-to-day technology support for staff and students.
  • Ensure the smooth operation of digital learning platforms, troubleshoot devices, and maintain compliance with data security standards.
  • Manage all aspects of school enrollment and the enrollment process, including student records and related documentation.
  • Work closely with the School Data Consultant to review, resolve, and clear errors for all state reporting requirements.
  • Attend and actively participate in all state data calls, training, and required meetings.
  • Support ongoing data audits and ensure the timely submission of all state and district reports.
  • Provide and manage login credentials for state reporting platforms, including EDLink, TIDE, E-SER, DRC, and Google.
  • Serve as the School Security Coordinator, ensuring compliance with all data privacy, security, and access control policies.
  • Assign, create, and maintain student and staff state IDs using the eScholar system.
  • Ensure all required student data fields are accurately and fully completed in PowerSchool.
  • Assist the School Data Consultant with scheduling setup and updates in PowerSchool.
  • Enter, update, and maintain SNAP and Medicaid information in PowerSchool and the eScholar Direct Match system.
  • Maintain and manage the Clever platform, including user access, data syncs, and integrations with instructional applications.
  • Generate, pull, and print progress reports and report cards for each trimester.

Technology Support:
  • Serve as the primary point of contact for all school technology needs.
  • Set up, manage, and troubleshoot staff and student devices, including Chromebooks, desktops, projectors, printers, promethean boards, and other instructional technology.
  • Coordinate the repair, replacement, and updating of all school hardware and software.
  • Provide technical support for instructional and assessment platforms, including Clever, i-Ready, Amplify, MAP, and TS GOLD.
  • Maintain an accurate inventory of all technology equipment and ensure devices are functional, secure, and up to date.
  • Assist staff and scholars with connectivity issues, login support, and digital learning tools.
  • Support technology setup and troubleshooting for state testing, presentations, meetings, and school events.
  • Collaborate with IT vendors to resolve advanced or escalated technical issues.
  • Conduct weekly audits of all Chromebooks and Chromebook carts to ensure accountability and readiness.

Enrollment Support & Front Office Support:
  • Serve as the primary liaison between the school and EnrollNOLA.
  • Manage new student enrollment, seat offers, waitlists, acceptances, and declines.
  • Process hardship transfers, withdrawals, and mid-year enrollments in accordance with policy.
  • Ensure school is in compliance with all enrollment timelines.
  • Collect, verify, and securely maintain required enrollment documentation (proof of residency, immunization records, birth certificates, etc.)
  • Process student entry, exit, and transfer data promptly and accurately.
  • Support audits, data requests, and reporting for school leadership and external agencies.
  • Serve as a welcoming point of contact for families regarding enrollment questions and concerns.
  • Communicate clearly with families about enrollment status, deadlines, and required documentation.
  • Support family outreach efforts to increase enrollment and retention.
  • Assist with student check-in/out, attendance, and daily logs.
  • Serve as front office backup during staff absences, ensuring operations continue smoothly.

Requirements
Qualifications & Skills:
  • Bachelor's Degree ( preferred)
  • Experience with student information systems (PowerSchool).
  • Experience with State Reporting (preferred)
  • Strong computer literacy and troubleshooting skills.
  • Detail-oriented with strong organizational and communication skills.
