Position Overview

The Administrative Assistant provides administrative, document control, and other support to ensure efficient office operations. This position is responsible for maintaining electronic & physical records, supporting customer documentation requests and providing general administrative support to management & staff.


Key Responsibilities


Document Control & Records Management

  • Scan, organize, and maintain electronic records within the companys cloud-based filing system.
  • Maintain and organize physical files and records in accordance with company retention requirements.
  • Ensure documents are accurately filed and easily retrievable.
  • Support document retention and archiving activities.
  • Scan shipping packets for retention and customer delivery.


Office Administration

  • Order and maintain office, kitchen, facility, and vending supplies.
  • Assist with reception and general office support duties as required.
  • Support Managers with administrative tasks, reports and special projects as needed.


Accounting Support

  • Assist the Accounting & HR Administrator with matching invoices, packing slips, and purchase orders.
  • Assist with administrative functions related to accounts payable and accounts receivable.


Qualifications

  • High school diploma or equivalent required.
  • Prior administrative, office support or accounting support experience preferred.


Knowledge, Skill, and Abilities

  • Strong organizational and document management skills.
  • Proficiency in Microsoft Office
  • Ability to learn company software and cloud-based filing systems.
  • Strong attention to detail and accuracy.
