Overview
The Office Operations Manager provides office management and overall team support. This position reports directly to the Director of HR & Administration (DHRA). The OOM provides a full spectrum of comprehensive day-to-day operations support and plays a pivotal role in maintaining daily office operations, optimizing and coordinating processes, and vendor management.
This is a full-time in-office position as part of the Administrative team, which includes:
  • President/CEO
  • Director of HR & Administration
  • Executive Manager

Core Responsibilities
Office, Administrative, and Operational Support
  • Ensure smooth office operations, including supply inventory, anticipating needs, equipment maintenance, and vendor management.
  • Support organized and efficient workspaces, and inventory controls to ensure optimal functionality and day-to-day operations.
  • Assist DHRA with financial or administrative tasks as needed.
  • Oversee and manage calendars for meeting/workspaces, organizational sponsored events, and transportation reservations.
  • Provide back-up support to Executive team and Executive Manager for Board and Executive Committee, and Committee meetings.
  • Coordinate and lead Engagement teams throughout year to provide team building events that foster our core values.
  • Maintain Destination Marketing Accreditation Program (DMAP) requirements in partnership with Destinations International.

Building Upkeep and Vendor Management
  • Day-to-day operational oversight including stocking of supplies in common spaces, workroom, and vendor supply.
  • Oversee aspects of building maintenance, operations, and vendor management. Including inspections, licenses, and certificates.
  • Oversee technologies and equipment, troubleshooting, IT vendor management, maintaining technology supply levels, and evaluating new solutions as needed.
  • Drive process improvement to enhance day-to-day operational effectiveness.

Knowledge, Skills, and Abilities
  • Working knowledge of Microsoft Office 365.
  • Strong organization and project management skills with the ability to manage multiple projects and deadlines at one time.
  • Excellent verbal and written communication skills.
  • Highly organized and detail oriented.
  • Strong ability to pivot direction and prioritize tasks.
  • Desire to collaborate and team coordination skills.

Professional and Education Requirements
  • 3+ years of experience in operations or administrative offices.
  • Experience with Microsoft office, Outlook, and Sharepoint.
  • Valid Driver's license.

Work Settings and Physical Requirements
  • In-office work environment, Monday-Friday during standard business hours with possible "on call" moments in emergency situations.
  • In-town driving and possible travel.
  • Will require physical activity, including lifting up to 50 pounds, ability to climb ladders, stairs, and getting off ground level.
  • General knowledge of operations and building vendor management.
