Sales Ops Coordinator – This role serves as the critical link between Sales, Customers, Manufacturers, and Operations, ensuring commercial construction projects progress efficiently from specification and quotation through order entry, delivery, and project closeout. 


Job Overview:

The Opportunity:

Architectural Systems, Inc. (ASI) is seeking a highly organized, customer-focused Project Sales & Operations Coordinator to support our growing team of architectural sales professionals. This role serves as the critical link between Sales, Customers, Manufacturers, and Operations, ensuring commercial construction projects progress efficiently from specification and quotation through order entry, delivery, and project closeout.


The ideal candidate enjoys building relationships, solving problems, managing multiple priorities, and providing exceptional customer service in a fast-paced construction environment.


How You Will Make an Impact:

  • Sales Support
  • Follow up on quotations to determine project status and next steps.
  • Maintain ongoing communication with architects, glazing contractors, general contractors, owners, and distributors.
  • Assist outside sales representatives with project updates and customer follow-up.
  • Track bid results and identify opportunities for project conversion.
  • Coordinate sample requests, literature, and product information.
  • Order Management
  • Review purchase orders for accuracy.
  • Enter orders into the ERP/CRM system.
  • Coordinate order acknowledgments with manufacturers.
  • Monitor production schedules.
  • Track deliveries and communicate shipping updates.
  • Coordinate delivery address changes and resolve shipping issues.
  • Assist with warranty requests and project closeout documentation.
  • Customer Service
  • Serve as the primary point of contact for assigned projects.
  • Respond promptly to customer questions regarding pricing, schedules, deliveries, and technical information.
  • Build long-term relationships through proactive communication.
  • Resolve customer issues while maintaining a high level of professionalism.


Required Qualifications & Experience:

  • 3+ years of experience in commercial construction, architectural products, building materials, glazing, manufacturing, or construction project coordination.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication.
  • Ability to manage multiple projects simultaneously.
  • Strong customer service orientation.
  • Proficiency with Microsoft Office (Excel, Outlook, Word).
  • Experience using CRM or ERP software.


Preferred Qualifications & Experience:

  • Experience with manufacturer's representatives.
  • Knowledge of architectural drawings and specifications.
  • Familiarity with glazing systems, rainscreens, cladding, daylighting systems, or commercial building envelopes.
  • Experience with Bluebeam, AutoCAD, Procore, ConstructConnect, or Dodge Construction Network.
  • Knowledge of commercial construction bidding processes.
