Sales & Marketing Administrator

  • Employees are expected to work onsite three (3) days per week.
  • Candidates must reside within a reasonable commuting distance of our Vienna, VA location.
  • This is not a remote position.

Position Summary
We're looking for a highly organized, detail-oriented Sales & Marketing Administrator to keep our revenue operations running smoothly. In this cross functional role, you'll be the operational support for both teams - preparing sales materials, coordinating events and campaigns, and streamlining existing processes. It's an ideal role for someone who loves bringing order to fast-moving work, enjoys variety, and wants to grow within a commercial organization at a scaling health tech company.
Key Responsibilities
  • Sales Operations Support
    • Prepare and format sales collateral, proposals, presentations, and RFP/RFI responses.
    • Support deal handoffs, contract routing, and new-client onboarding administration.
    • Synthesize edits to contracts and proposals, keeping all parties informed of status and escalating key points as appropriate.
    • Track pipeline activity and sales commission to ensure accuracy & timeliness and share recurring sales reports and dashboards with leadership.
  • Marketing Coordination
    • Coordinate logistics for industry conferences and events (booth materials, registrations, shipping, and follow-up lists).
    • Help execute multi-channel campaigns across email, social, web, and webinars.
    • Organize and maintain the marketing collateral and asset library.
    • Create and manage an annual content calendar.
    • Assist with website updates, content coordination, and light copy edits.
    • Compile campaign and channel performance metrics into clear, actionable reports.
  • General Administrative Support
    • Maintain shared documentation, templates, and process records.
    • Serve as a connective point between Sales, Marketing, and other departments.
    • Serve as a backup to Executive Assistant for Virginia office needs and management.
Qualifications
  • Required
    • 5+ years of experience in a sales support, marketing coordination, or administrative role.
    • Strong skills in Microsoft Office.
    • Exceptional organization skills and attention to detail, with the ability to juggle multiple priorities and deadlines.
    • Clear, professional, written and verbal communication.
    • Confident and comfortable working cross-functionally and building relationships across the organization.
    • Self-starter who thrives in a fast-paced, evolving environment.
  • Preferred
    • Experience in healthcare, healthcare technology, or a regulated B2B industry.
    • Experience in contracting.
    • Exposure to event or conference coordination.
