Job Summary:

The Area Sales & Catering Manager performs sales and meeting operations functions to drive and service Group, Corporate/BT and Transient business for the Courtyard, SpringHill Suites, and Residence Inn Downtown Bozeman. In close collaboration with the Area Director of Sales, Sales Manager(s), Sales & Catering Coordinator(s), and property leadership, this position plays a crucial role in booking business within assigned segments, and coordinating and executing various group and corporate account functions.

Position includes base pay plus bonus plan.

Duties/Responsibilities:

  • Approximately 75% of time dedicated to conducting sales-related activities within assigned business segments/verticals
  • Approximately 25% of time spent facilitating and overseeing meeting operations
  • Directly supervises up to one (1) Coordinator-level employee
  • Solicits new and existing accounts to attract and close new and repeat business
  • Receives incoming leads and negotiates contracts to secure new bookings within defined booking parameters
  • Acts as primary point-of-contact for contracted groups to facilitate their guestroom and meeting needs
  • Facilitates group food & beverage needs including creating Banquet Event Orders (BEOs), and ordering outside catering
  • Oversees management of group room blocks, tracking cutoff dates and managing blocks in partnership with the client and internal stakeholders
  • Oversees facilitation of group billing
  • Maintains partnerships with preferred outside catering vendors to ensure quality service and preferential pricing/terms
  • Assists meeting operations with functions as needed, including room set-up and tear-down, greeting and being available for clients on-site, assisting with AV needs, etc.
  • Demonstrates knowledge of the hotel and competitors’ facilities, services, amenities, and meeting spaces
  • Produces and analyzes/distributes reports on booking pace, catering revenue/forecasts, business performance, etc. as needed
  • Maintains accurate, legible records and files to provide group/client history, ensure future and current service quality, and enhance prospects
  • Coordinates site tours, sales appointments/trips, and VIP arrangements
  • Assists in group accounting and billing tasks, ensuring payments/deposits are collected per contract
  • Additional duties as assigned

Required Skills/Abilities:

  • Excellent verbal and written communication skills with the ability to speak, read, and write English fluently
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail, with the ability to handle multiple projects and tasks concurrently with moderate supervision; must be self-motivated and able to prioritize effectively
  • Flexible, versatile and a fast learner, able to adapt quickly and maintain calm in a fast-paced environment
  • Must present a well-groomed appearance and professional manner; professional phone and email etiquette
  • Able to meet the attendance guidelines of the job and adhere to departmental and company policies; willing and able to work a flexible schedule as needed (may include nights/weekends)

Education and Experience:

  • 4-year college degree or equivalent experience preferred

Physical Requirements:

  • Must be able to remain in a stationary position for extended periods of time
  • Must be able to be on feet for extended periods of time, and move banquet tables, chairs, and other equipment on own
  • Must be able to access and navigate the facilities
  • Employees are required to adhere to safety requirements by wearing the appropriate personal protective equipment.
  • Work is routine and repetitive in nature and may require strenuous physical exertion at times, including the ability to move objects weighing up to 50 lbs.
