You’ll be the first point of contact for clients and visitors while also providing administrative support to keep the office organized and running smoothly.

Responsibilities:
  • Serve as the first point of contact for clients, prospective clients, visitors, and vendors, providing a warm and professional experience
  • Answer incoming phone calls, direct inquiries to the appropriate team member, and assist with basic service requests
  • Manage the office calendar and coordinate client appointments, internal meetings, and other scheduled activities
  • Maintain accurate and up-to-date information within the company CRM system
  • Monitor follow-up activities and help ensure client-related tasks and next steps are completed on time
  • Assist with client communications, including email correspondence, mailings, and other outreach
  • Help maintain strong client relationships through ongoing communication and client appreciation efforts
  • Support the coordination and execution of client events, educational programs, workshops, and other office events
  • Maintain organized electronic and physical filing systems and assist with recordkeeping
  • Retrieve, distribute, and track incoming and outgoing mail and correspondence
  • Maintain inventory and order office and hospitality supplies as needed
  • Provide administrative support to the team, including preparing and processing routine forms and documentation
  • Assist with general office operations, including opening and closing the office
  • Complete additional administrative projects and responsibilities as assigned
Requirements:
  • Previous administrative, receptionist, customer service, or office support experience preferred
  • Strong interpersonal and customer service skills with a professional and welcoming demeanor
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities, deadlines, and follow-up tasks
  • Comfortable answering phones and communicating directly with clients and other external contacts
  • Proficiency with Microsoft Office and general office technology
  • Experience working with a CRM or client database is a plus
  • Ability to handle confidential or sensitive information with professionalism and discretion
  • Reliable, proactive, and comfortable taking ownership of day-to-day responsibilities
  • Ability to work effectively both independently and as part of a small, collaborative team
