Position Overview
Reporting to the Associate Director of Investor Communications & Marketing, the RFP Analyst will join the Investor Communications and Marketing Group (ICM). ICM supports the Firm’s brand awareness efforts and produces written and presentation-based collateral, including RFPs, RFIs, DDQs, client questionnaires, consultant database content, presentations, factsheets, thought leadership, and other materials used with clients, prospects, consultants, and the broader financial community. This role supports Relationship Managers, institutional prospecting, and client servicing by delivering accurate, compliant, on-brand materials and maintaining reliable content and database resources. The RFP Analyst will collaborate with senior management and cross-functional teams across Portfolio Management, Relationship Management, Trading, Operations, Research, Legal, Compliance, and other departments to coordinate inputs, manage workflows, and deliver high-quality questionnaires on deadline. The role also has primary responsibility for managing consultant databases and works with the team to maintain the Firm’s RFP content database and related marketing systems.
Key Job Responsibilities
- Develop a strong working knowledge of the Firm’s investment philosophy, process, strategies, and vehicles to support accurate, customized response materials
- Prepare high-quality responses to RFPs, RFIs, DDQs, client questionnaires, and ad hoc investor and consultant requests
- Review requirements to identify deliverables, timelines, stakeholder inputs, and non-standard response needs
- Coordinate kick-off meetings, stakeholder inputs, status updates, and follow-up items throughout the response cycle
- Draft clear, targeted, compliant responses using approved content and tailored language as needed
- Use internal systems and data sources to gather data, exhibits, attachments, and supporting documentation, including holdings, attribution, performance, and other investment information
- Coordinate Compliance review and proofread, format, package, and submit final materials accurately and on schedule
- Help maintain the Firm’s RFP database and related marketing systems so content remains accurate, current, compliant, and accessible
- Save new or customized responses from current RFPs, DDQs, and questionnaires to the database as appropriate for future use
- Coordinate subject matter expert reviews across Portfolio Management, Research, Relationship Management, Legal, Compliance, Operations, and other teams to validate responses and refresh standard language
- Update records, document changes, organize supporting materials, and promote consistency across recurring responses
- Lead consultant database management and related deliverables, ensuring information is accurate, current, consistent, and submitted on schedule
- Coordinate recurring updates and review entries for consistency across consultant database platforms
- Check firm, strategy, product, performance, personnel, and related information against internal source materials and approved content
- Support product screenings and database deliverables by coordinating data, narrative responses, and supporting documentation through internal systems and sources
- Track updates, document changes, organize supporting materials, and identify opportunities to improve usability, workflow efficiency, and reporting
- Contribute to broader ICM initiatives and special projects as needed
- Support quarterly and ad hoc updates, holdings, performance and data requests, investor communications projects, and process improvements
- Assist with additional responsibilities and cross-functional projects as assigned
Skills and Knowledge Required
- Bachelor’s degree in finance, business, communications, or a related field
- 2–3 years of experience preparing RFPs, RFIs, DDQs, client questionnaires, or related technical marketing and investor communications materials within institutional asset management, investment consulting, financial services, or a related professional services environment
- Experience with RFP software, consultant databases, CRM systems, and content management platforms
- Advanced Microsoft Office skills, including Excel, PowerPoint, and Word, and comfort learning new systems
- Strong project management skills, including coordinating stakeholders, prioritizing competing deadlines, and managing time-sensitive work
- Clear written and verbal communication skills, with strong attention to accuracy, tone, audience, and client-ready quality
- Highly organized, detail-oriented, proactive, and solutions-oriented, with sound judgment, discretion, initiative, follow-through, and the ability to work independently
- Collaborative team player able to build credibility, manage interdepartmental expectations, and work effectively with stakeholders across the organization, including senior leadership and C-Suite executives, in a fast-paced environment
- High ethical standards and commitment to compliance, confidentiality, data integrity, version control, and process improvement
- Experience using AI tools to support content development, research, workflow improvement, or process efficiency preferred
- This is a hybrid position based in Los Angeles, CA which requires weekly attendance.
