Overall Function
Our team is looking for an ambitious individual who thrives in a fast-paced, team-focused work environment to join us as an Operations Associate. This role serves as a primary link between our internal departments, corporate home office, and the clients we serve. Successful completion of tasks and responsibilities in this role enables the team to focus their energy and efforts on revenue-generating activities, while fostering and developing impactful, enduring client relationships.


KEY RESPONSIBILITIES
Specific responsibilities may include but are not limited to:

CLIENT SERVICES & ADMINISTRATIVE SUPPORT

  • Edit, input, and distribute client meeting notes
  • Provide business operations & administrative support
  • Process address changes in CRM, CSS, and NetX360
  • Coordinate client gifts and tickets
    • Track gifts and tickets
    • Maintain Gift Log
  • Manage holiday card distribution
  • Track licensing and manage renewals and cancellations
  • Support client website needs, including:
    • Client registration
    • eDelivery setup
    • Account sharing between family members
  • Assist with client events
    • (Example: Sever's Festival - send invitations and track attendees)
  • Webinars
    • Send email invitations to quarterly webinars

SCHEDULING

  • Confirm client meetings
  • Schedule client reviews
  • Setup Zoom links and send calendar invitations
  • Maintain calendars for multiple advisors


PERFORMANCE SKILLS

  • High sense of urgency with strong attention to detail
  • Exceptional organizational skills with the ability to follow through and execute in a timely manner
  • Strong problem identification, analytical and resolution skills

QUALIFICATIONS

  • Experience in administrative support or customer service; financial services experience preferred
