Bookkeeper & Personal Assistant (Part-Time with Full-Time Potential)

The Heart of Our Operations Rose Express Inc. is a fast-growing wholesale floral company servicing over 350 stores. We are looking for a sharp, organized, and proactive individual to keep our office running smoothly and support our leadership team. If you are a QuickBooks expert who enjoys the variety of assisting with daily business operations, this is the perfect role for you.

The Schedule

  • Hours: 3–4 days per week (to start).
  • Work-Life Balance: No weekends! Monday through Friday schedule.
  • Growth: Potential to transition into a Full-Time role as the company continues to expand.

Your Responsibilities

Financial Management (Bookkeeping):

  • Full-Cycle Bookkeeping: Manage Accounts Receivable (AR) and Accounts Payable (AP) exclusively within QuickBooks.
  • Reconciliation: Perform weekly bank and credit card reconciliations to ensure 100% accuracy.
  • Reporting: Generate weekly and monthly profit/loss statements and cash flow reports.
  • Payroll: Process payroll and maintain accurate employee tax records.
  • Collections: Professional follow-up on outstanding invoices from our 350+ retail partners.

Administrative & Executive Support (PA):

  • Act as a "gatekeeper" and primary point of contact for office inquiries.
  • Manage the owner’s calendar, scheduling meetings and floral delivery logistics.
  • Organize and maintain digital and physical filing systems.
  • Handle general administrative tasks (ordering office supplies, mail handling, etc.).

Qualifications

  • QuickBooks Proficiency (Required): Must have a deep understanding of QuickBooks (Desktop or Online) and feel confident managing company books independently.
  • Experience: Proven track record in bookkeeping, accounting, or office management.
  • Tech-Savvy: Strong command of Microsoft Excel (pivot tables/formulas) and Google Workspace.
  • Confidentiality: High level of integrity is required for handling sensitive financial data.
  • Organization: A "master of details" who can manage 350+ accounts without breaking a sweat.
