ESSENTIAL FUNCTIONS

Invictus Academy is an independent public charter school located in El Cerrito and we are seeking a HR Manager to join our team who believes deeply that the mission, model, and values at Invictus are driving improved educational outcomes for students. 

The HR Manager plays an invaluable role in overseeing and coordinating all personnel related topics to ensure a high quality experience for all employees. The HR Manager works closely with our Leadership Team and Back Office Support Providers. We are seeking a candidate who brings Human Resources knowledge, creativity, experience building relationships, and will take initiative to support our growing school. We are looking for a candidate who is highly reliable, can balance many responsibilities and is willing to go above and beyond as a member of the team.

We are seeking an exceptional individual to execute the following essential job functions and professional responsibilities:

With the support of the back office service provider, the HR Manager is responsible for overseeing all recruitment and HR support functions, including the following:

Talent

  • Coordinates all aspects of the staff recruitment process, including posting positions, screening applications, and scheduling interviews
  • Creates and maintains job postings across multiple platforms (school website, job boards, university career centers, niche sites) with the back office service provider
  • Conducts initial resume screening and coordinates phone/video screen interviews
  • Manages applicant tracking system, maintaining accurate and up-to-date candidate records and status updates
  • Schedules and coordinates all interview logistics, including preparing interview packets, and communicating with candidates
  • Supports the development of diverse candidate pipelines through outreach to universities, professional organizations, and community networks
  • Conducts reference checks and employment verification for final candidates
  • Supports diversity, equity, and inclusion initiatives through recruitment and employee engagement efforts 
  • Other duties as assigned

Onboarding & HR Administration

  • Coordinates new hire onboarding process, including preparation of offer letters, employment agreements, and onboarding materials with the support of the back office service provider
  • Manages new employee paperwork and ensures completion of all required documentation (I-9, W-4, benefits enrollment, emergency contacts, supporting sponsorship requirements, etc.)
  • Schedules and facilitates new employee orientation sessions
  • Maintains accurate employee records and personnel files in compliance with legal requirements
  • Processes employee status changes, including promotions, transfers, and separations
  • Supports annual performance evaluation processes by coordinating timelines and maintaining documentation
  • Other duties as assigned

Back Office Liaison

  • Serves as primary point of contact with back office service provider for day-to-day HR operations
  • Coordinates payroll processing, including collecting and submitting timesheets, tracking employee hours, and resolving payroll questions
  • Partners with insurance broker and supports benefits administration, including enrollment, changes, and employee inquiries
  • Assists with leave administration, tracking employee leave requests and coordinating with back office provider
  • Responds to internal and external data requests in a timely and accurate manner
  • Maintains organized systems for HR documentation and employee data
  • Other duties as assigned

Compliance Support

  • Supports teacher credentialing processes, including tracking credential expiration dates and coordinating new and renewal paperwork
  • Assists with background check processing for all new hires and ensures compliance with regulatory requirements
  • Ensures health screening and trainings are updated
  • Maintains access to and updates compliance tracking systems
  • Supports preparation of reports and documentation for charter authorization and regulatory requirements
  • Ensures compliance with mandated reporting and filing deadlines
  • Other duties as assigned

Culture & Employee Support

  • Assists with planning and executing staff appreciation events and activities
  • Supports administration of employee surveys and compiles feedback for leadership review
  • Other duties as assigned

  • Encourage students and teachers to take risks and learn from their mistakes and create opportunities for students to leverage the power of their voice.
  • Supervise and engage with students in-person to ensure student safety and learning.
  • Attend and participate in school-wide events including Back to School Night, Parent/Teacher conferences, End of the Year events, Grade Level Meetings, Department Meetings, Summer Professional Development, weekly Professional Development during the school year,  and other assigned meetings.
  • Uphold and model core values, including purpose, perseverance, productivity, growth mindset, integrity, leadership, joy, gratitude, mindfulness, and kindness.
  • Perform any other reasonable duties or responsibilities as assigned by your supervisor.
  • Participate in the performance evaluation process, which is based on adherence to the outlined responsibilities and qualifications.

PUBLIC SCHOOL EMPLOYMENT REQUIRED QUALIFICATIONS

  • Earned Bachelor’s Degree.
  • At least 1-2 years of HR experience.
  • Pass a Criminal Background Check through the Department of Justice.
  • Obtain a negative TB reading prior to starting employment.

DESIRED QUALIFICATIONS

  • Our ideal candidate has at one to two years of experience working in a school setting
  • Bilingual in Spanish.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

This full-time and on-site position requires sufficient mobility to report to campus, work in an office, and engage with students, families, and colleagues, with or without reasonable accommodations. The role may involve light lifting, pushing/pulling, standing, sitting, and bending for extended periods. Success in this role requires working well under pressure, meeting deadlines, and adapting to stressful and unpredictable environments. The employee must effectively prioritize and organize tasks while maintaining open and respectful communication with families and community members using school platforms and technology. Attendance and active participation in school-wide events, professional development sessions, and other assigned meetings are essential.
