We provide a five-star approach to special events, corporate events, and weddings in the San Francisco Bay Area. With backgrounds in theater, film, arts, architecture, and entertainment, we use our experience and knowledge to produce top-tier designs for hundreds of events each year. This includes some of the most notable events in the city, museum openings, social galas, fundraisers, corporate events, and more! Our client roster includes non-profit organizations, art institutions and a variety of tech companies, including Pinterest, Slack, Google, and many more.
ABOUT THIS JOB:
The part-time HR Generalist provides essential administrative and operational support across core HR functions. Working 2 days a week, this role focuses on the execution of specific transactional tasks, routine record-keeping, and handling first-line employee inquiries during scheduled hours, while collaborating closely with the HR Director..
JOB DESCRIPTION:
Recruiting, Onboarding & Offboarding
  • Update job descriptions, post/close positions within the ATS, and process approved hires/terminations in ADP and FileMaker during scheduled workdays.
  • Prepare offer letters, initiate background checks, and audit I-9 verifications for compliance.
  • Coordinate and facilitate the onboarding and orientation schedule for new hires.
  • Coordinate the offboarding process, processing terminations in ADP/FileMaker.
  • Coordinate the administrative offboarding process for planned separations, ensuring documentation and system deactivations are scheduled in alignment with state-regulated final pay timelines. (Note: Urgent, same-day terminations/resignations falling outside scheduled hours will be handled by the HR Director).
HRIS, Payroll & Records
  • Maintain accurate, up-to-date electronic employee files in ADP WFN and FileMaker.
  • Partner with payroll by executing accurate data entry, tracking employee status changes, and providing updates prior to payroll processing deadlines.
  • Prepare routine HR reports and assist with internal compliance documentation as required.
Benefits & Compliance Support
  • Support the HR Director in the advance administrative planning, material preparation, and system testing for annual Open Enrollment.
  • Act as the internal point of contact for day-to-day, routine employee benefits questions during working hours.
  • Track and report on the completion of mandatory harassment prevention and compliance training programs.
Workplace Safety & Workers' Comp Administration
  • Administer the company's Workplace Violence Prevention Plan (WVPP) by coordinating annual employee training logistics, tracking completion, maintaining the mandatory Violent Incident Log, and ensuring policy accessibility.
  • Act as the administrative point administrator for workers' compensation claims; process, submit, and track claims with the insurance carrier, ensuring all internal incident documentation is filed accurately. (Note: Immediate, real-time injury response outside of scheduled hours will be managed by the HR Director; the Generalist will handle the subsequent administrative filing on their next scheduled day).

REQUIREMENTS:
Experience:
  • 3+ years of progressive HR administration or HR Generalist experience. Experience in event production, hospitality, entertainment, or a fast-paced client-service environment is a plus.

California HR & Compliance Knowledge:
  • Solid working knowledge of California labor laws and HR compliance, including I-9/E-Verify administration, CA final pay regulations, and Workers' Compensation filing.
  • Familiarity with workplace safety requirements, including California's Workplace Violence Prevention Plan (WVPP) standards, is strongly preferred.

Technical Skills:
  • Hands-on proficiency with ADP Workforce Now (WFN) or similar major HRIS/payroll systems required.
  • Experience with Applicant Tracking Systems (ATS)
  • Strong proficiency in MS Office (Excel, Word) and Google Workspace.
