Conference Services Manager - Isla Bella Beach Resort & Tranquility Bay
Job Summary
Isla Bella Beach Resort and Tranquility Bay Beachfront Resort are seeking a results-driven and service-focused Conference Services Manager to lead event planning and execution across both properties in Marathon, Florida.
This role serves as the primary liaison between clients and resort teams, ensuring seamless execution of meetings, conferences, weddings, and special events while maximizing revenue opportunities. The ideal candidate is highly organized, proactive, and skilled in identifying opportunities to enhance the guest experience through strategic upselling and thoughtful event planning.
Responsibilities
Event Planning & Client Management
  • Serve as the main point of contact for clients from contract turnover through event execution
  • Partner with clients to understand event goals, timelines, and expectations
  • Conduct site visits and pre-event meetings across both properties
  • Develop and manage Banquet Event Orders (BEOs), group resumes, and detailed event timelines

Event Execution
  • Oversee on-site execution of meetings, weddings, conferences, and group events
  • Coordinate logistics including catering, room setups, audio-visual, and guest accommodations
  • Lead BEO and pre-convention meetings to ensure alignment across departments
  • Anticipate and resolve operational challenges to ensure a seamless guest experience

Operations, Revenue & Financial Management
  • Proactively identify and execute strategic upselling opportunities across all events, including menu enhancements, premium experiences, and added services
  • Partner with clients to enhance event scope while aligning with their goals and budget
  • Manage group room blocks, cutoff dates, and event details to optimize revenue and profitability
  • Monitor event budgets, forecast revenue opportunities, and track performance against goals
  • Support billing, reconciliation, and financial reporting processes

Team Collaboration
  • Partner closely with Food & Beverage, Front Office, Housekeeping, and Engineering teams across both resorts
  • Ensure clear and consistent communication between departments and properties
  • Support on-site teams during events to maintain service and brand standards

Qualifications
  • 2-5 years of experience in conference services, event planning, or hotel operations
  • Previous experience in a hotel or resort environment strongly preferred
  • Experience managing weddings, conferences, or large-scale events preferred
  • Demonstrated ability to drive revenue through upselling and client relationship management
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and client relationship management skills
  • Ability to work in a fast-paced, multi-property environment
  • Experience with event management systems and Microsoft Office
  • Strong problem-solving and decision-making abilities
  • Flexible schedule including evenings, weekends, and holidays

Physical Requirements
  • Ability to stand and walk for extended periods during events
  • Ability to lift up to 25-30 pounds occasionally
  • Comfortable working in a fast-paced, event-driven environment
