Position Overview

The Meeting amp; Event Services Manager is responsible for the planning, coordination, and flawless execution of meetings, conferences, and special events at Edgewood Tahoe Resort. This role serves as the primary liaison between clients and resort operations teams following the sales process, ensuring every event detail is executed to the highest luxury hospitality standards.

The ideal candidate is highly organized, service-focused, and experienced in managing complex event logistics. This position requires strong collaboration with culinary, banquet, conference services, and resort operations teams to deliver seamless and memorable guest experiences.


Key Responsibilities
  • Serve as the primary point of contact for clients from contract handoff through event completion
  • Plan, coordinate, and manage all meeting and event logistics, timelines, and service details
  • Conduct planning calls, site visits, and pre-event meetings with clients to confirm expectations
  • Develop and maintain accurate Banquet Event Orders (BEOs), room setups, timelines, and event diagrams
  • Coordinate menu selections, décor, audiovisual needs, transportation, and special requests
  • Partner closely with culinary, banquet, housekeeping, front office, and operations teams to ensure seamless execution
  • Communicate all event details clearly and timely to internal departments
  • Manage event changes, last-minute requests, and on-site client needs with professionalism and urgency
  • Monitor event budgets and billing details to ensure accuracy and profitability
  • Oversee event execution on-site, ensuring service standards and client expectations are exceeded
  • Conduct post-event follow-up and gather client feedback to support continuous improvement
  • Maintain detailed records of event details, service notes, and client preferences
  • Support the overall guest experience by anticipating needs and delivering personalized service
  • Perform other related duties as assigned to support the success of the department and resort operations

Qualifications and Skills
  • Minimum of 3 years of experience in event services, conference services, luxury hospitality, or event planning
  • Strong experience coordinating meetings, weddings, corporate events, and special functions
  • Exceptional organizational and project management skills
  • Strong interpersonal and communication abilities with a client-service mindset
  • Ability to manage multiple events and deadlines simultaneously in a fast-paced environment
  • Detail-oriented with strong problem-solving and decision-making skills
  • Proficiency in event management systems, CRM software, and Microsoft Office Suite
  • Ability to work flexible schedules, including nights, weekends, and holidays

Physical Requirements
  • Must be able to safely lift, move, and stack items weighing up to 50 lbs
  • Ability to bend, lift, walk, and stand for extended periods during events
  • Comfortable working indoors and outdoors in varying weather conditions
  • Ability to move throughout multiple resort venues and event spaces during the workday
