Job description

WordPress Website Administrator & Document Management Specialist

Work arrangement: Remote
Schedule: Flexible, with reliable availability for ongoing website oversight

Position Summary

We are seeking an experienced WordPress Website Administrator to maintain, edit, and monitor an established website. The website has already been designed and launched, so this role will focus on ongoing administration rather than a complete redesign.

The ideal candidate has extensive hands-on WordPress and Semrush experience, strong document-management skills, and excellent attention to detail. This person will ensure that website content remains accurate, organized, functional, secure, and up to date.

Key Responsibilities

  • Monitor the website regularly for content, formatting, navigation, and functionality issues.
  • Edit and publish pages, posts, images, downloadable documents, and other website content.
  • Upload, organize, replace, archive, and remove documents as needed.
  • Maintain consistent file names, categories, links, formatting, and version control.
  • Update WordPress core software, themes, and plugins safely.
  • Perform routine backups and confirm that recovery procedures are available.
  • Identify and resolve broken links, missing files, display errors, and basic website issues.
  • Monitor website security, performance, uptime, and overall health.
  • Test changes across desktop and mobile devices before or immediately after publication.
  • Manage user accounts, permissions, and access levels when authorized.
  • Coordinate with hosting providers, developers, or other vendors when advanced technical support is required.
  • Maintain a record of website updates, document changes, technical issues, and completed work.
  • Recommend practical improvements without changing the website's existing design or structure without approval.

Required Qualifications

  • Extensive professional experience administering and maintaining WordPress websites.
  • Strong knowledge of the WordPress dashboard, themes, plugins, media library, user roles, and content publishing tools.
  • Demonstrated experience with website document management and version control.
  • Ability to update content without disrupting the website's existing design or functionality.
  • Experience with backups, security monitoring, software updates, and basic troubleshooting.
  • Working knowledge of HTML and CSS for minor formatting adjustments.
  • Strong proofreading, organizational, and file-management skills.
  • Ability to work independently, manage recurring responsibilities, and communicate clearly.
  • Reliable availability for routine maintenance and time-sensitive website issues.

Preferred Qualifications

  • Experience with common WordPress page builders such as Elementor, Divi, Gutenberg, or WPBakery.
  • Familiarity with accessibility, search-engine optimization, website analytics, and performance optimization.
  • Experience managing PDF, Word, Excel, image, and other downloadable files.
  • Familiarity with hosting dashboards, domain settings, SSL certificates, staging sites, and caching tools.
  • Experience working with business, nonprofit, professional-services, or information-heavy websites.
  • Why Work With Nova Vacation Rentals?

At Nova Vacation Rentals, you will have the opportunity to take ownership of an established website and make a meaningful contribution to a growing vacation-rental business. This role is ideal for a dependable WordPress professional who enjoys keeping websites accurate, organized, secure, and running smoothly.

You will work independently with a flexible schedule, clearly defined responsibilities, and an existing website that does not require a full redesign. We value attention to detail, responsive communication, practical problem-solving, and long-term working relationships. Your expertise will be trusted and appreciated, and you will have the opportunity to recommend improvements that strengthen our online presence and support an excellent experience for our guests and property owners.

What This Role Does Not Require

This is not primarily a website redesign or new-development position. The website's design is already complete. The successful candidate will focus on dependable oversight, accurate updates, document organization, maintenance, and early problem identification.

Application Requirements

Please include:

  • A summary of your WordPress administration experience.
  • Examples of WordPress websites you currently manage or have managed.
  • A description of your document-management and Semrush experience.
  • The WordPress themes, page builders, and plugins you know well.
  • Your availability, time zone, hourly rate, and typical response time.
  • A brief explanation of how you approach backups, updates, security, and quality control.

Suggested Screening Questions

  1. How many years have you professionally administered WordPress websites?
  2. Which WordPress themes, page builders, and plugins do you use most often?
  3. How do you safely handle WordPress core, theme, and plugin updates?
  4. What is your process for organizing and replacing downloadable documents while preventing broken links?
  5. How do you monitor a website for security, performance, and functionality problems?
  6. Describe a WordPress issue you identified and resolved before it became a larger problem.
  7. What information or access would you need before beginning ongoing maintenance?
  8. What is your hourly rate and typical response time for urgent issues?
