JOB OVERVIEW
Footprint Project is seeking an Operations Coordinator to keep our organization running smoothly, supporting our day-to-day operations that keep a fast-moving nonprofit on track. This is a hands-on, behind-the-scenes role for someone who takes ownership of the details, stays organized across many moving parts, and is energized by variety. One hour you might be coordinating a board packet; the next, tracking an insurance renewal, supporting an onboarding, or helping a programs team pull together an event.


This role is genuinely dynamic. You will juggle requests from multiple people across priorities, so we are looking for someone who is comfortable pivoting, staying organized under competing demands, and reliably following through so the people and teams you support never have to wonder whether something got handled.


Since our inception in 2018, our organization has consistently scaled in resources and impact, hitting >50% year over year growth since 2023. We remain a start-up-style nonprofit with big goals, so this is a role for someone who is comfortable wearing many hats, adapting quickly, and supporting the building of structure where it is needed. JOB DETAILS
Location: New Orleans, LA or Asheville, NC metro areas preferred; open to fully remote for the right candidate.
Reports To: Chief of Staff, with direct support provided to the CEO and Fractional COO
Supervises: None
Workplace Policy: Hybrid or fully remote, depending on location
Job Type: Full-time, hourly non-exempt (W-2) if based in Louisiana or North Carolina.
Schedule: Monday-Friday within the hours of 8am to 6pm local time for a total of approximately 40 hours/week
Travel: ~10% of the time for events
Compensation: $24-$26/hour, depending on experience (approximately $50,000-$54,000/year at full-time)

RESPONSIBILITIES


Operations & Administrative Support

  • Provide operational and administrative support as needed, handling both recurring tasks and one-off requests. Examples include supporting HR logistics, managing insurance renewals, payroll, charitable registrations and other compliance requirements, and maintaining/ordering office supplies/visibility materials.
  • Serve as primary point of contact (virtual switchboard operator) for incoming org-wide requests, directing them to the appropriate person or team.
  • Fill gaps and perform other job-related duties as assigned.


Project & Event Support

  • Provide project coordination and event planning support across teams on an as-needed basis for internal, external, donor, and both blue and grey sky activation-related events, supporting a lead with logistics, travel, vendor coordination, RSVPs, and visibility materials.


Executive and Board Engagement Support

  • Serve as a primary point of coordination for the Chief of Staff, CEO, and Fractional COO, anticipating needs and supporting administrative/operational requests.
  • Support email and inbox triage, flagging priorities, drafting routine responses, and ensuring nothing time-sensitive is missed.
  • Schedule and confirm meetings across time zones and competing demands, resolving conflicts and protecting time for priority work.
  • Take clear notes, capture action items, and track follow-ups to completion.
  • Provide logistical support for Board and Committee activity, including scheduling meetings, sending invites, managing the meeting calendar, and assembling and distributing board packets.


REQUIRED QUALIFICATIONS

  • Strong attention to detail and follow-through. You keep track of the many moving pieces, catch the things that matter before they become problems, and reliably close the loop.
  • Comfortable pivoting and managing competing, changing priorities. You can juggle requests from multiple people and shifting demands without losing track of what matters most.
  • At least 1 year of experience in a comparable executive support, administrative, or coordinator role
  • Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
  • Strong scheduling and calendar management skills
  • Excellent written and verbal communication
  • Proactive, organized, adaptable, and dependable
  • Associate's or Bachelor's degree preferred; comparable experience in a similar role can substitute for a degree
