The eBilling Rates Administrative Assistant will manage and maintain a high volume of new timekeepers for the firm's eBilled clients. The eBilling Rates Administrative Assistant will ensure accuracy and compliance of eBilling rates, collaborating with internal teams to consistently and proactively implement and update rates.

Essential Duties and Responsibilities:

  • Manage and identify new timekeepers for eBilled matters using Tableau reporting.

  • Review and analyze new timekeeper reports for the eBilling team at start of month.

  • Collaborate with Rates Team to identify and address additions to rate sets.

  • Handle rate submissions in the eBilling site based on the Rates Team's confirmation, ensuring accuracy of all rate information within the system.

  • Assist with the review and identification of necessary invoice corrections for eBilling Team members regarding invoices rejected due to unapproved timekeeper rates.

  • Collaborate with eBilling Rates Team to support overflow of rate-related requests or inquiries.

  • Assist with incoming e-mails from the Rates Team on various topics, such as AFA's requiring new timekeeper rate submissions in the eBilling site(s).

  • Track and follow-up internally and externally on outstanding submissions, inform eBilling Rates Team of any issues delaying timekeeper rate submission or approval.

  • Gather and submit employee diversity information in eBilling site(s); collaborate with Diversity Team to collect accurate and up-to-date data for submission.

Knowledge, Skills and Abilities:

  • Strong communication and interpersonal skills, with the ability to clearly communicate and support effective collaboration with internal professional staff and clients.

  • Knowledge of eBilling rate submission processes on the various eBilling platforms and specific rate guidelines for eBilled clients.

  • Excellent attention to details, follow-up, organizational, and time-management skills.

  • Ability to work independently and collaboratively with cross-functional teams.

  • Proficiency in Excel.

Education and/or Experience:

  • Bachelor's degree preferred, or any equivalent combination of training, education and experience that demonstrates the ability to perform the essential duties of the position.

  • Minimum of two (2) years of law firm experience, with a particular focus on Billing or eBilling.

  • Strong experience in several eBilling platforms used by the firm's clients, with exposure to timekeeper rate submissions.

  • Experience with full cycle of Billing or eBilling and invoice submissions.
