Senior Trust & Corporate Paralegal – Family Office
We are establishing and managing a sophisticated single-family office serving two high-net-worth families with multiple trusts, family businesses, investment entities, and private holding companies. We are seeking an experienced Trust and Corporate Paralegal to assist with the administration, governance, and coordination of these structures.
This position is ideal for a highly organized, self-directed professional who enjoys working in a fast-paced but flexible environment and who requires minimal supervision.
Responsibilities
- Assist with the administration of numerous irrevocable and revocable trusts.
- Coordinate with trustees, beneficiaries, family members, attorneys, accountants, investment advisors, bankers, and other professionals.
- Maintain corporate records for multiple entities, including corporations, LLCs, partnerships, and special purpose vehicles.
- Prepare and maintain organizational documents, annual consents, resolutions, minutes, ownership schedules, and entity charts.
- Track entity compliance requirements, filing deadlines, annual reports, and governance matters.
- Assist with trust distributions, account openings, asset transfers, and documentation requests.
- Organize and maintain electronic files and records for trusts, entities, and investments.
- Monitor capital calls, subscription documents, K-1s, and investment-related correspondence.
- Help develop and implement systems, procedures, and best practices for the family office.
- Maintain confidentiality and exercise discretion in dealing with sensitive family, financial, and business matters.
Qualifications
- Minimum of five (5) years of substantive experience as a trust and estates paralegal, corporate paralegal, private trust company professional, or in a family office environment.
- Demonstrated experience working with trustees, family businesses, closely held entities, and multiple corporate structures.
- Ability to manage numerous matters simultaneously while maintaining exceptional attention to detail.
- Strong organizational, communication, and follow-up skills.
- Proficiency with Microsoft Office, Adobe Acrobat, and electronic document management systems.
- Ability to work independently, anticipate issues, and complete projects with minimal direction.
- Excellent judgment, professionalism, and a commitment to maintaining strict confidentiality.
Preferred Qualifications
Experience with any of the following is highly desirable:
- Trust accounting systems and trust administration platforms.
- Preparation and review of fiduciary accountings.
- Private equity, venture capital, hedge fund, and real estate investment structures.
- Subscription agreements, capital calls, distribution notices, and investor reporting.
- Delaware trust administration and directed trust structures.
- Multi-generational family office operations.
- Coordination of tax return preparation and collection of information for fiduciary, partnership, and corporate tax filings.
- Familiarity with family office software, document management systems, and workflow automation tools.
Compensation and Schedule
Hours are flexible and may be structured as full-time, part-time, or reduced-hour arrangements for the right candidate. Some remote work may be available.
Compensation is competitive and will be commensurate with experience.
