Job description

Case Manager - This is a 100% fully remote opportunity. Must be based anywhere in the United States, *must* work 9am-5pm PST office hours. We are a leading tax law firm in San Francisco looking for an experienced executive assistant. The qualified candidate will be a competent administrative professional with the demonstrated ability to provide proactive support to our team of attorneys. We are a high-volume Firm looking for the right person to join our collaborative, engaged and productive team.

Primary Duties and Responsibilities

  • Work directly with the legal staff to support all aspects of daily work routine.
  • Manage and monitor active tax law cases from intake through resolution, ensuring deadlines and compliance requirements are met
  • Coordinate directly with attorneys, clients, and government agencies (including the IRS and state tax authorities)
  • Prepare, organize, and maintain case files, legal documents, tax records, and correspondence
  • Track case statuses, flag upcoming deadlines, and provide regular updates to supervising attorneys
  • Conduct preliminary research on tax regulations, rulings, and case law as directed
  • Assist in drafting correspondence, settlement documents, and procedural filings
  • Liaise with clients to gather documentation and communicate case progress professionally
  • Support billing and file management processes in accordance with firm procedures

  • Proficiency with legal case management software (e.g., Clio, MyCase, or similar)
  • Strong knowledge of legal documentation, filing procedures, and compliance standards
  • Exceptional organizational, communication, and time-management skills
  • Ability to handle confidential information with discretion and professionalism
  • Bachelor's degree in legal studies, accounting, business, or a related field preferred
  • Paralegal certification or tax-related credential (e.g., Enrolled Agent) is a plus
