Legal Assistant – Workers' Compensation Defense (Remote)

Salary: $50,000 per year

Location: Remote in California

About the Opportunity

A growing, technology-driven California workers' compensation defense law firm is seeking a highly organized, proactive, and detail-oriented Legal Assistant to join its fully remote team.

This is not a passive administrative role. We are looking for someone who understands the fast pace of workers' compensation defense litigation, can manage deadlines effectively, communicate professionally, and help ensure every file continues moving forward. The ideal candidate takes ownership of their work, follows through on assignments, asks thoughtful questions, and understands that strong organization and communication are critical to successful legal operations.

The firm represents employers, insurance carriers, and third-party administrators in California workers' compensation matters. Team members work collaboratively in a fully remote environment utilizing modern legal technology and case management systems.

Position Overview

The Legal Assistant will support attorneys, hearing representatives, operations personnel, and paralegals with daily case management activities, calendaring, document preparation, filing, deposition coordination, medical-legal tracking, and communication support.

The successful candidate will be comfortable working independently while maintaining consistent communication with team members through email, Microsoft Teams, and case management software.

Key Responsibilities

Case Management & File Maintenance

  • Maintain accurate and up-to-date case information within the firm's case management system.

  • Save, organize, and properly categorize documents according to established procedures.

  • Enter and track tasks, deadlines, hearing dates, deposition dates, medical evaluations, report due dates, and follow-up activities.

  • Review files for missing documentation, incomplete information, duplicate entries, and overdue tasks.

  • Ensure critical deadlines are properly calendared and monitored.

Calendaring & Deadline Management

  • Calendar hearings, depositions, medical evaluations, report deadlines, objections, settlement conferences, and internal follow-up dates.

  • Review calendars daily for upcoming deadlines, scheduling conflicts, and overdue items.

  • Assist in ensuring deadlines are not missed and responsibilities are clearly assigned.

  • Proactively follow up on outstanding reports, records requests, client responses, and pending case activities.

Workers' Compensation Defense Support

  • Assist with opening new files, preparing notices of representation, initial correspondence, and case setup.

  • Organize medical records, personnel records, subpoenas, deposition exhibits, and medical-legal packets.

  • Track medical-legal deadlines, evaluation dates, reports, supplemental requests, and follow-up activities.

  • Coordinate depositions, prepare notices, confirm appearances, and arrange interpreters or other logistics when necessary.

  • Assist with hearing preparation, exhibit organization, witness information, and trial readiness.

Communication & Client Support

  • Communicate professionally with clients, employers, adjusters, opposing counsel, medical providers, vendors, and court personnel.

  • Follow up regarding missing records, case status information, settlement documents, witness availability, and medical-legal issues.

  • Draft correspondence, status updates, and communications for attorney review.

  • Escalate urgent or unresolved issues promptly.

Filing & Document Preparation

  • Assist with electronic filings and service of documents.

  • Prepare proofs of service, correspondence, notices, exhibits, and routine workers' compensation documents.

  • Track filing and service activity to ensure completion and accuracy.

  • Verify documents are properly saved and organized within the case management system.

Administrative Support

  • Assist with billing support, time-entry review, and administrative functions as needed.

  • Help identify missing billable activities associated with case work.

  • Support initiatives that improve organization and operational efficiency.

Required Qualifications

  • Minimum 1–3 years of legal assistant experience, preferably within California workers' compensation defense.

  • Familiarity with WCAB procedures, EAMS filings, depositions, subpoenas, medical-legal processes, and workers' compensation terminology.

  • Strong calendaring and deadline management skills.

  • Experience with legal case management software preferred.

  • Ability to work independently in a remote environment.

  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Office, Outlook, Adobe/PDF tools, and cloud-based document management systems.

  • Excellent organizational skills and attention to detail.

  • Ability to manage multiple priorities in a fast-paced environment.
