Job Purpose
The HR Team Administrator provides high-level administrative and operational support to the Director of Human Resources and the broader HR team, helping to drive organization, communication, follow-through, and execution across key HR initiatives. This role serves as a strategic administrative partner to the Director of HR while also supporting department coordination, team engagement efforts, process improvement initiatives, and day-to-day HR operations.
This individual plays a critical role in ensuring the HR function operates efficiently and proactively by managing priorities, coordinating projects and meetings, maintaining organization across multiple initiatives, and supporting a high-performing, people-focused team culture. The ideal candidate is highly organized, detail-oriented, proactive, resourceful, and interested in long-term growth within the Human Resources function.
Duties and responsibilities
As a BELAY Corporate Team member, you will professionally represent the company in all virtual and in-person interactions. You are expected to exemplify our mission, vision, and core values daily, fostering a collaborative and positive team environment.
Director Support
  • Serve as a strategic administrative partner to the Director of Human Resources by anticipating needs, managing priorities, and ensuring operational efficiency across the HR function
  • Manage and maintain the Director's calendar, ensuring priorities are aligned with business needs and protecting time for strategic work and focused execution
  • Coordinate meetings by gathering agendas, clarifying meeting objectives, and ensuring attendees are prepared to maximize efficiency and productivity
  • Prepare agendas, materials, notes, and follow-up action items for HR leadership meetings, team meetings, one-on-ones, and cross-functional meetings
  • Assist the Director and HR team with tracking deliverables, deadlines, projects, action items, and follow-through across the department
  • Draft correspondence, communications, presentations, and meeting materials while maintaining a high level of professionalism and confidentiality
  • Coordinate domestic and occasional international travel arrangements, itineraries, and meeting logistics
  • Manage expense reporting and reimbursement tracking for the Director of HR
  • Execute ad hoc projects, administrative tasks, and special assignments as needed

HR Team Operations & Coordination
  • Provide administrative and operational support to the broader HR team as assigned by Director
  • Coordinate department meetings, team communications, and recurring HR operational processes
  • Support the preparation and facilitation of monthly BELAY All Team (BAT) meetings, including agenda development, presentation coordination, logistics, and engagement activities
  • Assist in creating engaging team experiences, icebreakers, recognition moments, and culture-building initiatives for HR and company meetings
  • Coordinate HR-related events, offsites, in-person meetings, and team-building activities
  • Manage calendar invitations, meeting logistics, agendas, and presentation materials for HR initiatives and company-wide communications
  • Coordinate weekly HR announcements and support internal communication efforts across Slack and other platforms
  • Maintain organizational documents, reports, trackers, department resources, and operational tools to ensure accuracy and consistency
  • Support quarterly audits and updates for HR systems, organizational charts, job descriptions, and employee resources
  • Assist with onboarding coordination, offer letter preparation, and new hire administrative support in partnership with HR team members
  • Manage and monitor HR ticketing requests and ensure timely follow-up and resolution
  • Support department process improvement initiatives by identifying inefficiencies, recommending enhancements, and assisting with the implementation of automation or streamlined workflows
  • Assist with project coordination and tracking for ongoing HR initiatives and strategic priorities
  • Cross-train across various HR functional areas to provide administrative and operational backup support during team absences, high-volume periods, or departmental transitions
  • Maintain a willingness to learn HR processes, systems, and workflows across the employee lifecycle to support team continuity and operational effectiveness
  • Perform additional duties and special projects as assigned by the Director of Human Resources

  • Bachelor's degree preferred or equivalent combination of education and relevant work experience
  • Previous experience in executive administration, team coordination, project coordination, HR support, or related administrative roles preferred
  • Demonstrated ability to handle highly sensitive and confidential information with professionalism and discretion
  • Exceptional organizational, prioritization, and time management skills with the ability to manage multiple competing priorities
  • Strong written and verbal communication skills with the ability to communicate clearly and professionally across all levels of the organization
  • Strong interpersonal and relationship-building skills with a service-oriented and collaborative mindset
  • Demonstrated ability to take initiative, identify gaps or inefficiencies, and recommend practical solutions
  • Detail-oriented with strong follow-through and the ability to independently manage tasks from initiation through completion
  • Ability to anticipate needs, solve problems proactively, and maintain strong operational organization
  • Comfortable working independently in a remote environment while also collaborating effectively across teams
  • Demonstrated curiosity and willingness to learn multiple areas within Human Resources to support team collaboration, business continuity, and long-term professional growth
  • Interest in long-term career growth within Human Resources, including potential development in HR operations, employee relations, performance management, recruiting, or people programs
  • Proficiency with technology tools and systems such as Google Workspace, Slack, Paycor, Salesforce, Asana, Canva, JazzHR, and project management platforms
  • Experience supporting meetings, presentations, events, or team engagement initiatives preferred
  • Project management or process improvement experience is a plus

Salary Range
$60,000 - $65,000
Location Requirements
This role is remote within the U.S. However, due to employment and tax compliance considerations, we are currently unable to hire employees in the following states: California, New York, Illinois, Oregon.
