Role Overview & Impact
The Human Resources Admin provides foundational, routine administrative and clerical support to the Human Resources department. This foundational position focuses on heavy file management, basic data entry, scheduling, document collection, and routine inquiries.
The HR Admin handles day-to-day administrative tasks that keep the department organized, audit-ready, and efficient. The ideal candidate brings strong attention to detail, high reliability with repetitive data tasks, and a passion for customer service and strict confidentiality.
Key Responsibilities
Data Entry & File Management
  • Create, update, and organize digital personnel files, I-9 folders, and HR document archives.
  • Conduct precise data entry into HR software, Google Sheets, and employee tracking systems.
  • File incoming completed forms, policies, and acknowledgments into proper employee records.
  • Maintain clean electronic drives to ensure document retrieval is quick and efficient.
Administrative Onboarding Support
  • Assist the HR Coordinator by sending standard welcome emails, document packets, and form reminders to new hires.
  • Collect and verify incoming pre-employment paperwork for completeness before uploading to system files.
  • Schedule orientation sessions and calendar invites for hiring managers and incoming employees.
General Department & Logistics Support
  • Sort and direct incoming HR emails, general inquiries, and department tickets to the appropriate HR team member.
  • Prepare standardized employee verifications of employment (VOE) and standard correspondence.
  • Help track completion rates for mandatory compliance trainings, surveys, and performance reviews.
  • Assist with logistics for employee appreciation events, wellness initiatives, and staff meetings.

  • Data Accuracy: Zero-error record creation and precise document filing.
  • Turnaround Speed: Fast, reliable processing of incoming forms, requests, and verification emails.
  • Organization: Maintaining a clean, standardized, audit-ready electronic filing system.
